Job summary

Gerald Group in Stamford, CT is seeking a Senior Contract Administrator to support the precious metals trading desk. You will coordinate with Traders and multiple internal departments, ensuring contracts, invoices, and shipping documents are accurate and executed efficiently.

The role requires 5–10 years in the precious metals sector, strong Excel/Word skills, and willingness to travel domestically and internationally. This position is office-based, with flexible hours as needed.

Qualifications

  • Bachelor’s degree required.
  • 5–10 years of proven experience in the precious metals commodities industry in a related role.
  • Knowledge of Incoterms 2020.
  • Proficiency in Microsoft Office Suite with advanced Excel and Word capabilities.
  • Strong organizational, planning, and follow-up skills; ability to meet strict deadlines in a fast-paced environment.

Responsibilities

  • Coordinate internally across Legal, Credit, Risk, Treasury, and with Gerald global offices; negotiate and procure logistics services to support physical trading.
  • Develop and maintain high-quality customer service relationships with producers, consumers, and service providers.
  • Monitor contractual documentation (purchase/sales orders, invoices, shipping documents, title documents) for accuracy and timeliness.
  • Maintain internal records (inventory on hand, goods in transit, bearer documents); reconcile inventory reporting for Traders, Credit, and Treasury.
  • Maintain and distribute storage and freight cost databases to support trading decisions.
  • Execute documentation and payments workflow with counterparts and Treasury; ensure timely vendor invoice payments.
  • Perform other duties as assigned.

Job Summary:

As a member of the Precious Metals team, the Senior Contract Administrator has a dual mandate: partnering with Traders to add commercial value through coordination across customer relations, business planning, logistics, and physical contract execution activities.The Senior Contract Administrator is also responsible for overseeing the day-to-day operations of the department’s physical business, ensuring that all communications, documentation, and contractual obligations are executed in a timely manner to uphold, promote, and strengthen the company’s reputation as a valued industry partner.This role operates in a manner that protects the interests of all stakeholders through compliance with corporate policies and procedures designed to mitigate the risks inherent in physical commodities trading.

Responsibilities:
  • Proactively coordinate internally across departments (Legal, Credit, Risk, Treasury, etc.) and with other Gerald global offices as needed; and externally with trade counterparts, warehouses, and other third-party service providers to negotiate and procure necessary logistics services (i.e. trucking) to support the needs of the physical trading business
  • Develop and maintain high-quality customer service relationships with various counterparties, including producers, consumers, and service providers, in a manner that creates operational synergies across the supply chain
  • Proactively monitor contractual documentation, such as purchase/sales orders, invoices, shipping documents, and title documents, to ensure contractual obligations are met and executed in an accurate, timely, and cost-efficient manner
  • Maintain internal records, including inventory on hand, goods in transit, and various bearer documents; continuously reconcile inventory records for reporting to Traders, Credit, and Treasury, as well as various external stakeholders
  • Maintain and distribute storage and freight cost databases to facilitate timely and accurate trading decisions
  • Responsible for timely releases, invoicing, and execution of other documentation to counterparties, as well as subsequent coordination of payments with the Treasury Department
  • Ensure timely and accurate processing and payment of vendor invoices
  • Perform other duties as assigned
Requirements:
  • Bachelor’s degree required.
  • 5–10 years of proven experience in the precious metals commodities industry in a related role
  • Additional European language skills are a plus
  • Knowledge of Incoterms® 2020
  • Proven experience performing technical due diligence, with a strong analytical mindset, attention to detail and decision-making skills
  • Proficiency in Microsoft Office Suite applications, with advanced Excel and Word capabilities
  • Strong organizational, planning, and follow-up skills, with the ability to work collaboratively in a team environment and meet strict deadlines in a fast-paced environment
  • Courteous and flexible customer service attitude
  • Ability to work in-office five days a week and flexibility to work additional hours as required
  • Willingness to travel domestically and internationally (Asia, EU) as required by the company
