We are seeking an experienced, highly motivated Senior Admissions Coordinator to support and manage admissions operations for behavioral health and addiction treatment services. This is a senior-level position requiring exceptional organizational skills, independent decision-making, strong communication abilities, and a comprehensive understanding of the behavioral healthcare admissions process.

The ideal candidate is proactive, accountable, and capable of managing complex admissions situations with minimal supervision. This individual must demonstrate strong judgment, take ownership of assigned leads and responsibilities, and consistently execute follow-up strategies that support admissions growth while maintaining ethical, patient-centered practices.

Admissions Management & Coordination
  • Independently manage the admissions process from initial inquiry through admission or appropriate referral.
  • Respond promptly to inbound inquiries, assess prospective patient needs, and determine appropriate next steps.
  • Conduct thorough intake assessments and coordinate insurance verification, clinical reviews, and admission arrangements.
  • Maintain consistent communication with prospective patients, families, referral partners, and internal teams.
  • Identify and resolve obstacles that may delay or prevent admissions.
  • Manage complex or sensitive admissions situations with professionalism, empathy, and sound judgment.
  • Take full ownership of assigned leads, ensuring timely follow-up and accurate documentation.
CRM Management & Lead Nurturing
  • Maintain advanced working knowledge of Salesforce CRM, including lead tracking, pipeline management, reporting, and task automation.
  • Execute and monitor drip campaigns, including SMS, email, and structured follow-up sequences.
  • Proactively identify opportunities to reengage inactive leads and improve admissions conversion rates.
  • Ensure accurate documentation of patient interactions, lead statuses, insurance information, and admissions outcomes.
  • Monitor assigned pipelines to prevent missed opportunities, overdue tasks, and communication gaps.
  • Identify inefficiencies in CRM workflows and recommend operational improvements.
Operational Accountability & Team Support
  • Operate with a high degree of autonomy while consistently meeting established performance expectations.
  • Manage daily priorities independently without requiring continuous oversight or direction.
  • Serve as a knowledgeable resource for admissions representatives, assisting with complex inquiries and operational challenges.
  • Support onboarding, coaching, and development of less experienced admissions team members.
  • Demonstrate leadership through reliability, initiative, professionalism, and accountability.
  • Escalate clinical, compliance, or operational concerns appropriately while independently resolving issues within established authority.
  • Collaborate with clinical, utilization review, and facility operations teams to facilitate efficient admissions.
Performance & Continuous Improvement
  • Consistently achieve individual performance goals related to response times, follow-up activity, lead engagement, and admissions conversions.
  • Review personal performance metrics and proactively identify areas for improvement.
  • Recognize gaps in admissions processes and recommend actionable solutions.
  • Maintain thorough documentation and ensure departmental procedures are followed.
  • Contribute to the development and refinement of admissions workflows, scripts, and follow-up protocols.
Ideal Candidate

We are looking for a dependable, experienced admissions professional who takes initiative, anticipates operational needs, and consistently follows through without requiring reminders or close supervision.

The successful candidate understands that autonomy comes with accountability. They are comfortable making informed decisions, managing their own workload, resolving problems, and taking responsibility for outcomes.

This individual should be equally comfortable navigating complex patient situations, maintaining a disciplined admissions pipeline, supporting colleagues, and identifying ways to improve departmental performance.

This is not an entry-level admissions position.

Candidates must demonstrate substantial hands‑on experience, operational maturity, strong technical capabilities, and a proven ability to independently manage responsibilities in a fast‑paced behavioral healthcare environment.
