Position Overview

The Senior Administrative Professional will serve as the administrative focal point for the MMO, managing all official communications channels.

Essential Job Functions
Communication Channels
  • Answering organizational phone line(s) and directing callers appropriately
  • Monitoring inboxes, handling correspondence, or delegating actions
  • Receiving, handling, and distributing mail/media according to security guidelines
Records Management
  • Serve as Records Custodian, managing organizational files across classification domains
  • Support records management lifecycle per applicable policies, including DoD and other agencies
  • Use enterprise records management systems and tools
Workflow Management
  • Track and coordinate taskers and workflow actions to resolution
  • Monitor deadlines, follow up, verify completion, and communicate status
Document Preparation
  • Prepare documents in standard government formats
  • Track document statuses within workflows
Calendar Management
  • Maintain organizational calendars
  • Schedule appointments and resources for meetings and activities
Meeting Logistics
  • Coordinate meeting materials and logistics for virtual or in-person meetings
Inventory and Supply
  • Manage supply and equipment orders and inventory
Qualifications
Minimum Position Requirements
  • Associates or Bachelor's Degree in Business Administration, Management, or related field
  • At least 3 years of administrative experience in a high-security environment, preferably DoD or military
