Senior Administrative / Executive Assistant

Growing engineering firm is seeking a Senior Administrative / Executive Assistant. The successful candidate will possess a minimum of 10 years' experience in a relevant role working for an architecture, engineering, or construction company. Expert-level skills in Microsoft Office are required.

Responsibilities:

  • Support the Department Manager by overseeing and coordinating activities of the administrative support staff, particularly related to reception, administrative, and facilities functions.
  • Operate with limited supervision from a manager.
  • Support other departments and managers as needed to fulfill immediate firm requirements.
  • Create spreadsheets, logs, and records for tracking, reporting, and analyzing data.
  • Develop schedules and timelines for projects.
  • Collaborate with the Marketing team to assemble client proposal templates according to Project Manager instructions.
  • Enter data into required systems and documents, and audit for accuracy.
  • Request documentation as assigned by managers.
  • Obtain and provide Certificates of Insurance according to client instructions.
  • Maintain electronic and physical departmental files, documents, communications, and records.
  • Contribute to and lead project-based initiatives.
