Job summary

Addison Group in Schaumburg, IL is seeking a Senior Administrative Assistant to provide high-level executive support to the CEO and President. This role oversees calendars, meetings, travel, expense reporting, and special projects, with exposure to senior leadership and board activities.

The ideal candidate is proactive, detail-oriented, and capable of handling confidential information in a fast-paced nonprofit/association environment.

Qualifications

  • 5+ years of executive administrative support experience.
  • Experience supporting VP-level or C-suite executives; C-suite experience strongly preferred.
  • Previous nonprofit or professional association experience is a plus.
  • Bachelor's degree preferred.
  • Strong proficiency with Microsoft Office Suite, including intermediate to advanced Excel.
  • Experience with Salesforce/Nimble, Concur, and/or Monday.com is highly desirable.

Responsibilities

  • Provide direct administrative support to the CEO and President, helping manage their day-to-day priorities and administrative needs.
  • Own and coordinate complex executive calendars, including scheduling meetings, managing conflicts, and coordinating with internal and external stakeholders.
  • Plan and organize executive meetings, including preparing agendas, materials, meeting notes, and follow-up items.
  • Assist with domestic and occasional international travel arrangements, itineraries, and related logistics.
  • Manage and submit executive expense reports using Concur.
  • Support the CEO and President with special projects and administrative initiatives.
  • Assist with improving administrative processes and creating efficiencies across the executive support function.
  • Coordinate logistics for Board, Finance Committee, and volunteer committee meetings.
  • Provide administrative support surrounding Board meetings and assist with communication and follow-up.
  • Attend meetings, capture key information and action items, and proactively ensure appropriate follow-through.
  • Utilize Monday.com extensively to organize projects, monitor deadlines, track action items, and manage workflows.
  • Maintain member and stakeholder information through Salesforce/Nimble.
  • Create and update presentations, spreadsheets, correspondence, and other executive materials using the Microsoft Office Suite.
  • Collaborate regularly with executives, board members, volunteers, and internal teams

Job Description:
