Title: Senior Admin Business Partner

Job Description:
The purpose of the Senior Administrative Business Partner (ABP) is to support the PTQ Leadership Team, PTQ Global teams, and the PTQ SSF community with coordination and execution of administrative tasks, projects, events, and meeting management to ensure continued success across Quality functions to meet PTQ's vision of "All Value, Zero Waste, For Patients". This person will act as a deputy for other ABPs within PTQ as needed and may take on the role as a Primary Point of Contact (PPoC) for a Leadership Team Member if required.
Job Responsibilities:
- Highly skilled in Google Suite and managing shared team drives and complex scheduling requests, potentially across multiple time zones
- Manage the contract and PO process for the NA team using MyBuy and DocuSign
- Advanced knowledge of available IT systems (e.g., cSuite, virtual collaboration tools)
- Manage relationships with internal and external stakeholders, often requiring a high level of confidentiality
- Plan large internal meetings (e.g., department meetings, large team/committee meetings)
- Manage scheduling with external partners, oversee preparation and post-meeting needs
- Lead planning & execution of internal meetings with webcasting and sophisticated technology
- Independently lead planning & execution of complex team offsites involving multiple locations and activities
- Assist with agenda and meeting material creation, offsite event flow, etc.
- Attend internal meetings, assist with note-taking and follow-up
- Draft email communications on behalf of managers, teams, or departments
- Manage departmental Spaces, websites, newsletters, etc.
- Coordinate feedback collection and implementation for communications
- Coordinate logistics of moves in collaboration with space planning leads
- Manage candidate/interview process and onboarding logistics
- Plan team building events and workshops
- Organize trainings for team or admins
- Manage vendor/speaker engagements, contracts, and payments
- Maintain department org charts

Required Skills and Qualifications:
- 5-7 years of related administrative, operations, or project management experience, preferably in pharma/biotech
- Experience working with senior leaders
- Knowledge of MyBuy is highly desired
- Ability to multitask, prioritize, and work independently
- Collaborative approach to team development and communication
- Discretion handling sensitive information
- High attention to detail and accuracy
- Decisive, with minimal external validation needed
- Proficiency in Microsoft Office, cSuite tools, and familiarity with *** organization is preferred
- BS/BA degree or equivalent experience
