Job summary

Northern Trust is seeking an administrative professional to support the Transformation Office in a proactive, service‑oriented role. You will manage calendars, coordinate meetings and travel, prepare materials, and handle invoices and office requests with discretion.

The successful candidate will coordinate team activities, assist with agendas and notes, maintain calendars and milestones, and look for ways to improve administrative processes for efficiency and accuracy.

Responsibilities

  • Provides administrative support to Transformation Office leaders, including calendar management, meeting scheduling, travel arrangements, expense processing, and other administrative activities.
  • Coordinates team meetings, workshops, and events, including managing logistics, preparing materials, and supporting follow-up activities.
  • Creates, edits, and formats presentations, reports, spreadsheets, and communications.
  • Processes invoices, expense reports, purchase requests, and office supply orders.
  • Assists with arranging travel, conference registrations, and department events.
  • Supports the preparation of meeting agendas, meeting notes, and action-item tracking.
  • Serves as a point of contact for internal stakeholders, helping coordinate requests and communications across the Transformation Office.
  • Helps maintain team operating calendars, key milestones, and recurring reporting activities.
  • Identifies opportunities to improve administrative processes and team efficiency.
  • Works independently on routine assignments while escalating more complex issues as appropriate.

Major Duties

Experience
  • Experience 2-5 years of administrative, executive assistant, coordinator, or business support experience
  • Experience supporting multiple stakeholders preferred
  • Financial services experience is beneficial but not required

Salary Range: $52,800 - 79,200 USD

Salary range is a good faith estimate of base pay.

Northern Trust provides a comprehensive benefits package including retirement benefits (401k and pension), health and welfare benefits (medical, dental, vision, spending accounts and disability), paid time off, parental and caregiver leave, life & accident insurance, and other voluntary and well-being benefits.

Northern Trust also provides a discretionary bonus program that may include an equity component.
