Job summary

The Allen Institute for Artificial Intelligence (Ai2) in Seattle is seeking a Grants Coordinator to join the Grants Administration team. You will support onboarding, post-award activities, subrecipient administration, and day-to-day federal award operations under the Director’s guidance.

This role emphasizes compliance, reporting, and process optimization with opportunities to implement AI-augmented workflows across the grants lifecycle.

Qualifications

• 3–5 years of experience in grants administration or related field.
• Experience supporting federal grants and reporting requirements.
• Strong organizational and deadline management skills.
• Attention to detail in documentation and records.
• Experience with federal grants systems (SAM.gov/Grants.gov).
• Proficiency with Google Workspace and project tracking tools.
• Clear, professional written communication.

Responsibilities

• Manage institutional registrations and federal submission accounts.
• Route legal documents for review and maintain grant calendars.
• Draft progress reports for active awards and maintain audit-ready records.
• Support subaward administration, invoicing, and documentation.
• Collaborate with Finance on budgets and modify as needed.
• Assist with closeout tasks and final reporting.
• Monitor subrecipient performance and coordinate with Finance.
• Own day-to-day federal award operations under Director oversight.
• Lead meeting scheduling, agendas, and action tracking.
• Document control and SOP refinement; explore AI-assisted workflows.
