We are blessed at Our Lady of Good Counsel Parish School (OLGC) in Plymouth, MI, to offer life-changing encounters with Jesus and to equip leaders to transform the culture. We are seeking a School Office Manager to join our OLGC family. The candidate will thrive in a team environment with a desire to advance our mission.

Job Summary

The Office Manager is responsible for overseeing the financial and operational functions of the school, including budgeting, accounting, human resources, and compliance with laws, while supporting the school’s mission and values. The Office Manager also assists with the school’s Student Information System to manage pupil accounting and develop family tuition plans. The school office manager works closely with the Parish Finance Department.

Duties and Responsibilities
  • Handle sensitive and confidential information for staff and families.
  • Learn FACTS (the school’s student information system) to assist in enrollment data and manage family tuition plans.
  • Oversee state reports related to human resources and pupil accounting, ensuring compliance in mandated areas.
  • Manage tuition balances and oversee delinquent accounts.
  • Organize data regarding student scholarship programs and staff discounts related to tuition.
  • Work with the Principal to prepare yearly budget and accounting reports for the parish finance council and community.
  • Manage purchase orders, work orders, deposits, and reimbursement invoices related to school accounting.
  • Handle monies received from school events, including cash counting, deposit forms, and online payments.
  • Collaborate with front office staff to ensure substitute coverage and maintain Safe Environment records.
  • Support ordering of materials needed for the school.
  • Manage HR needs such as background checks, fingerprinting, staff contracts, maternity leave, and weekly timesheets for hourly employees.
  • Maintain and update personnel and student records.
  • Assist and support the admin team during staff development days, open houses, curriculum nights, and other events.
Qualifications
  • Bachelor’s degree preferred.
  • Ability to maintain confidentiality.
  • Strong computer and organizational skills.
  • Experience with school and/or finance operations is preferred.
