Job summary

Scholarship America is seeking a proactive Scholarship Program Administrator to manage a portfolio of scholarship programs. You will guide clients through the program cycle, assist students and schools, and collaborate with cross-functional teams to deliver program outcomes.

The role requires strong communication, organization, and problem-solving skills, with an emphasis on accuracy and timely execution. Hybrid/remote work within the continental US is available.

  • Associate's degree or equivalent experience (minimum).
  • Bachelor's degree or equivalent experience (preferred).
  • Multilingual skills, preferably Spanish.

Responsibilities

  • Complete all scholarship processes using multiple customized and standard operating systems.
  • Share knowledge of business processes with the team to support a positive culture.
  • Maintain detailed student and financial records, determine eligibility, oversee award payments.
  • Provide support to clients, students, parents, and schools with professional communication.
  • Update and communicate program details including contracts, calendars, and reports.
  • Invoice and maintain financial accounts; assist with financial reporting.

The Scholarship Program Administrator position directly contributes to our mission by effectively facilitating a portfolio of scholarship programs to change students' lives through scholarships. This role will work with client partners to guide them through their program cycle, including client contract approval, student applications, evaluations, selections, notifications, college payment, and reporting. The position consults with clients on Scholarship America best practices to achieve student outcomes and program goals. The Scholarship Program Administrator also works with cross-functional internal teams that support program delivery and assist students, parents, and school officials in a team environment.

Position Expectations:
  • Proactively foster partner relationships, ensuring partners are kept up to date and aware of the status of the program, and provide suggestions and guidance in order to maximize program impact
  • Responsible for the accurate completion of all processes required for the scholarship, using multiple customized and standard operating systems
  • Share knowledge of business processes and procedural changes with team members, contributing to a positive, team-based culture
  • Maintain detailed student and financial records, determine eligibility, and oversee student award payments, ensuring contract requirements are accurately fulfilled
  • Use professional communication skills to provide support to clients, students, parents, recommenders, and schools
  • Support and drive organizational change by providing input to increase efficiency and improve technology
  • Implement organizational skills to prioritize work and ensure program timelines are met
  • Understand and manage the applicant evaluation process and participate in granting scholarship awards
  • Update and communicate program details to include contract and calendar, application processing and evaluation, allocation and distribution of awards, and preparation of reports
  • Demonstrate positive collaboration with other areas of the organization to meet program needs
  • Invoice and maintain financial accounts for assigned programs and provide assistance with financial reporting
Minimum Requirements:
  • Successful background with client relationships through account management and/or customer service
  • Demonstrated ability to work effectively, efficiently, and cooperatively with diverse groups of people in on-site and virtual environments
  • Effective professional communication skills (verbal - phone, written - email, chat, letters, contracts, documentation); may include in-person contact for site visits
  • Ability to work independently with strong time management & prioritization skills to effectively manage competing priorities
  • Attention to detail to ensure programs are administered according to contract parameters and timelines
  • Proficiency with Excel and other MS Office Suite products
  • Strong aptitude for learning and effectively utilizing new software applications and digital tools
  • Initiative to analyze and solve problems
  • Associate's degree or equivalent experience
  • A passion for improving student outcomes and a commitment to serving marginalized students of need
Preferred Requirements:
  • Ability to coach and consult with partners on designing programs that support students of greatest need
  • Experience providing customer service to or supporting diverse populations
  • Cultural awareness to appreciate varied lived experiences and the potential impact on educational achievement
  • Understanding of scholarship processes through personal or professional experience
  • Multilingual skills (preferably Spanish)
  • Bachelor's Degree or equivalent experience

Exemption Status: Hourly

Full Pay range: $17.93 - $22.40 - $26.88

This is the pay range for our staff in this position, from entry to fully independent and proficient in the role utilizing our proprietary systems and processes. The candidate selected for this position will be offered a wage applicable to their background and skill set as aligned to our business. This will result in an initial offer between $17.93 and $18.50 per hour for this position.

Target start date will be mid-to-late September
