The Scheduling Supervisor provides support for surgical office by managing all aspects of surgical scheduling and medical assisting.
Responsibilities
- Maintain surgical schedule for physicians which includes daily communication to keep everyone apprised of updates.
- Maintain call schedule for general surgery department.
- Coordinate surgical dates with patients.
- Schedule correct surgery in appropriate room, OR, minor, in-patient, out-patient.
- Coordinate assistant surgeons both from within our office and other offices.
- Provide patients with proper pre-surgical preparations; bowel preps, medication restrictions, fasting, medical clearance, pre-admit testing.
- Obtain proper CPT and ICD-10 coding.
- Obtain necessary authorizations from insurance companies.
- Fax booking sheet including coding and authorization information, consents, physician orders, histories & physicals, and medical clearances to surgical booking department.
- Enter all pre-admit testing orders into the EMR for physician to review and sign.
- If there is a chance a same day surgery patient needs homecare, those orders need to be sent to home care.
- Assure all billing information is provided by physician on billing card before sending to billing department.
- Maintain clean and well stocked exam rooms.
- Order medical supplies.
- Triage patients.
- Obtain proper consents.
- Complete preliminary history & physical including vitals and enter into EMR system.
- Have procedure trays and other supplies ready for the physician.
- Assist with minor procedures, biopsies and irrigation & drainage.
- Pack and change dressings under supervision of surgeon.
- Proper specimen handling, packaging and sending to lab.
- Count and sterilize instruments.
- Drain & clean autoclave according to schedule.
- Change red bag waste & prepare for pick up.
- Change Cidex according to schedule.
- Maintain record of service for equipment.
- Enter orders into EMR for physician to review and sign.
- Obtain authorizations for Radiology procedures.
- Provide back to work/school notes.
- Manage the physicians' outboxes.
- Assist reception when needed.
- Handle all phones calls professionally and timely.
- Performs other tasks as assigned.
Qualifications/Requirements
Experience
3 years of previous healthcare, surgical scheduling, supervisory experience and medical assistant experience preferred.
Education
High School diploma required.
Licenses / Certifications
POE Certification or Medical Assistant Certification preferred.
