Job summary

Eurofins Madison is seeking a Sample Management Supervisor I to oversee the Sample Receiving and Entry functions, schedule resources, and ensure compliant, high-quality client service. The role focuses on staff development, data accuracy, and process improvements in a fast-paced lab environment.

You will apply GMP/GLP practices, manage training plans, and coordinate with internal teams while maintaining safety and regulatory standards.

Sample Management Supervisor I (Current Eurofins Madison Employees Only)

In 2021 we moved into a brand new ISO 17025 accredited laboratory in Madison, WI designed to conduct food chemistry testing specializing in infant formula, sole-source nutrition products, hemp and CBD, dietary supplements, and a variety of botanicals. Our testing portfolio includes vitamins, minerals, contaminants, pesticides and shelf-life studies.

We test of a variety of instrumentation including UPLC, HPLC, GC, and LCMS technologies. Supervises the staff responsible for Eurofins (EFII) Sample Receiving and Sample Entry Functions. Responsible for the scheduling and resource allocation to ensure the optimal distribution between services demand and staff assignments to excel in providing signature client service.

Responsible for the effective operation of the EFII Sample Management group. Plans, schedules, and organizes necessary resources to ensure appropriate effectiveness of sample receiving, sample entry, and client service representation. Implements department policies to maintain facilities and equipment.

Schedules staff, assign resources, identifies needed resources and coordinates the appropriate acquisition of facilities resources as applicable.

Ensures that all entries into NIMS are accurately completed and documented according to appropriate client requirements, client specifications, and other regulatory guidelines.

Assures that staff is trained and proficient in all phases of Sample Receiving, Sample Entry, Client Services Representation, NIMS utilization and any other Client Service applicable function as needed. Prepares training plans as required.

Provides metrics analysis and updates for distribution to staff.

Suggests process improvements to continually maximize the efficiency of the personnel and Client Services areas, recommend solutions and implementation of action plans.

Perform general human resources responsibilities including recruitment activities, performance evaluations, and progressive disciplinary processes, enforces Affmittive Action department goals.

Provides for safety and welfare of staff and supports/enforces Environmental Health and Safety Policies.

Proactive interaction with internal and external clients, troubleshooting client issues including CAIR writing and resolution.

Conducts all activities in a safe and efficient mannerPerforms other duties as assigned

Maintains appropriate shipping and receiving permits.

Resolves problems and notifies manager of resolution when job is within scope of own ability.

Assists in meeting project goals within technical, time and budgetary constraints.

Performs other duties as assigned.

3+ years of related experience.

Highly skilled in both written and verbal communication skills.

Ability to independently organize and evaluate data.

Ability to initiate and implement both self and staff development efforts independently.

Ability to learn new tasks

Ability to think critically and solve problems quickly and efficiently

Bachelor of Science/Arts (BS/BA). Chemistry or management preferred, experience may be substituted for education.

Advanced knowledge and ability to interpret regulatory agency guidelines (GLPs, cGMPs, etc).

Ability to accurately interpret and communicate scientific and organization information with internal and external clients.

Ability to effectively interact with clients and regulatory personnel.

Ability to perform intermediate/advanced computer skills (eg. Word, Excel, PowerPoint, Visio, Minitab). Working knowledge of NIMS system, preferred.

Travel Requirements: Yes <10%

Ability to lift 30 lbs

Able to walk, stand, or carry approximately 50% of the time

Able to sit at a computer for long periods of time

Ability to work both independently and with project teams.

Good attention to detail and strong organizational skills.

Knowledge of laboratory operations and equipment is beneficial.

Overtime and weekend work as required.
