Qualifications

• 2–5 years of experience in a relevant role, preferably in manufacturing.
• Experience with ERP systems (SAP preferred), especially order processing.
• Proficiency in Microsoft Office suite and data entry accuracy.
• Strong attention to detail and accuracy of data.
• Ability to manage multiple requests and prioritize in a fast-paced environment.
• Strong organizational and problem-solving skills.
• Effective communication and coordination across teams.
• Basic understanding of chemical products, labeling, or shipping requirements is a plus.

Responsibilities

• Serve as the point of contact for receiving and managing all sample requests from Sales and Technical.
• Review and process incoming sample requests, determining sourcing, required approvals, and necessary documentation.
• Maintain an accurate chemical inventory to support timely sample fulfillment.
• Coordinate with Production, Warehouse, and Logistics to ensure timely preparation and shipment of samples.
• Ensure compliance with shipping regulations including DOT HAZMAT and IATA Dangerous Goods certifications.
• Identify and resolve issues related to sample availability, data accuracy, or shipment delays.
• Support continuous improvement of sample coordination processes and data management practices.
• Other tasks as assigned by management.

Position Summary

The Sample Coordinator is responsible for managing and coordinating all customer sample requests to support sales and product development activities. This role serves as the primary point of contact for sample requests from the Clover, South Carolina location and ensures accurate processing and global shipment readiness. The position plays a critical role in securing new business, supporting product launches, and ensuring timely and compliant sample fulfillment in a chemical manufacturing environment.

RESPONSIBILITIES AND DUTIES:

• Serve as the point of contact for receiving and managing all sample requests from Sales and Technical


• Review and process incoming sample requests, determining sourcing, required approvals, and necessary documentation


• Maintain an accurate and sufficient chemical inventory to allow for the timely fulfillment of sample requests


• Coordinate with Production, Warehouse, and Logistics teams to ensure timely preparation and shipment of samples


• Ensure compliance with internal procedures and applicable regulatory requirements for shipping chemical samples, including maintaining DOT HAZMAT Shipping and IATA Dangerous Goods certifications


• Identify and resolve issues related to sample availability, data accuracy, or shipment delays


• Support continuous improvement of sample coordination processes and data management practices


• Other tasks as assigned by management

EXPERIENCE & REQUIREMENTS:

• Associate’s or Bachelor’s degree preferred, but not required


• 2–5 years of experience in supply chain, customer service, or administrative support role (manufacturing environment preferred)


• Experience with ERP systems (SAP preferred), particularly order processing


• Proficiency in computer software such as Microsoft Office suite


• Strong attention to detail and data accuracy


• Ability to manage multiple requests and prioritize effectively in a fast-paced environment

WORK ENVIRONMENT & PHYSICAL DEMANDS

• Ability to work at a computer for extended periods


• Ability to move throughout the manufacturing facility as needed to support sample coordination


• Ability to safely handle, pour, and prepare chemical samples following established safety procedures


• Ability to perform light manual tasks, including assembling packaging materials, labeling, and preparing shipments


• May require occasional lifting of sample containers and packaging materials (typically up to 30lbs), as well as standing, bending, and reaching
