Job description

What you Will Do

The Sales Support Specialist plays a critical role in enabling Data Center Account Managers and sales teams to execute with speed, accuracy, and consistency. The role drives operational excellence across pre-sales, quoting, booking coordination, and forecasting; leads continuous process improvement; and enhances the customer experience. Within established policies, commercial guidelines, and approval thresholds, this position is empowered to make day-to-day decisions regarding sales support priorities, workflow execution, issue resolution, and resource coordination while maintaining strong internal and external relationships.

How You Will Do It
  • Pre-sales Support: Create and manage opportunities in Salesforce. Generate timely and accurate quotes and estimates for assigned accounts, including change orders. Participate in and, as appropriate, lead internal and external meetings to clarify requirements, resolve open items, and ensure quoting accuracy. Assist in collecting required customer documentation.
  • Booking Coordination: Obtain customer approvals or purchase orders and follow up as necessary. Secure required internal approvals, independently coordinate resolution of booking holds, and elevate exceptions that fall outside established policies or approval thresholds. Own day-to-day booking coordination decisions, including prioritization, follow-up, and cross-functional issue resolution, to support smooth and accurate bookings.
  • Sales Forecasting: Maintain updated opportunities in Salesforce to support accurate forecasting. Collaborate with Data Center Account Managers to support forecasting efforts.
  • Customer Engagement: Serve as a professional, responsive point of contact for customer contracting and sales support matters; conduct monthly reviews with customer contracting teams and internal stakeholders to discuss renewals, open issues, required actions, and business updates. Prepare for and actively participate in quarterly customer reviews, presenting relevant sales support updates, documenting commitments, and driving timely closure of follow-up actions in partnership with Data Center Account Managers.
  • Internal Collaboration: Align with cross-functional teams to resolve reporting, contract modification, inspection scheduling, billing, and other sales support issues; make timely decisions within the role’s authority and elevate material commercial, legal, or operational risks. Coach and mentor Inside Sales Trainees and help establish consistent practices, operating discipline, and continuous improvement across the Data Center Sales Support team.
  • Continuous Improvement and Sales Support Decision Authority: Identify recurring process gaps, perform root-cause analysis, and lead practical improvements that reduce cycle time, improve accuracy, strengthen controls, and create a more consistent customer and seller experience. Establish, document, and maintain standard work, tools, templates, and performance measures for core sales support processes; monitor adoption and adjust workflows based on results and stakeholder feedback. Exercise sound judgment and decision-making authority over routine sales support priorities, work allocation, process adherence, and issue resolution within established policies, commercial guidelines, and approval thresholds. Challenge inefficient practices, recommend scalable solutions, and coordinate implementation with Sales, Operations, Finance, Legal, and other stakeholders. Escalate decisions involving pricing exceptions, contractual risk, non-standard terms, policy deviations, or material customer impact to the appropriate accountable leader.
Required Skills and Experience
  • Entrepreneurial mindset with strong leadership and team collaboration skills.
  • Ability to analyze processes, identify root causes, and recommend solutions.
  • Strong organizational skills and attention to detail; able to work independently.
  • Excellent interpersonal and communication skills with a customer-focused attitude.
  • Ability to prioritize tasks based on business impact.
  • Proven ability to influence cross-functional teams and drive results.
  • Previous experience as a Sales Administrator or Sales Support Specialist.
  • Understanding of sales performance metrics and forecasting.
  • Ability to manage multiple tasks under tight deadlines.
  • Demonstrated ability to lead continuous improvement initiatives from problem identification through implementation and sustainment.
  • Sound business judgment and confidence making timely decisions within defined authority, with clear recognition of when escalation is required.
  • Experience interacting directly with customers, facilitating business reviews, resolving issues, and communicating commitments with professionalism and accountability.
Preferred Qualifications
  • Bachelor’s degree in Business or related field.
  • Experience working with executive-level stakeholders.
  • Proficiency in Salesforce, Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, and Internet-based applications.
  • Experience with Power BI and Smartsheet.
