Job summary

Dn Solutions America Corporation seeks a detail-oriented purchasing coordinator to manage POs, invoicing, and vendor inquiries. You will coordinate shipping, update ERP items receipt, and support project billing.

Role requires a bachelor’s degree (or equivalent) with 5+ years in purchasing/logistics, SAP/ERP familiarity, and strong communication. On-site in Schaumburg, IL, with 8-hour shifts, Monday–Friday.

Qualifications

• Bachelor’s degree in business management, engineering, or equivalent experience (5 Years min.) Experience in business environment.
• Proficiency in Microsoft Office (Excel, Word, PowerPoint, Teams).
• Extensive knowledge of commerce operations in Manufacture, OEM, and/or Machine Builders.
• Full experience in Purchasing, Logistics, Pricing, and Customer Service to follow.
• SAP Background.
• ERP Background.
• Excellent accuracy and attention to detail.
• Professional and confidential information handling.

Responsibilities

• PO Processing: Review venders’ quotes and issue POs to venders.
• Order Processing: Generate options only sales order based on Customers’ purchase orders.
• Process Support: Generate credits, debit memo, and coordinate for payment.
• Clerical: Work between departments and maintain vendor filing.
• Customer Focus: Maintain excellent customer service by phone & email.
• In-House Training and Learning: Participate in-house training to learn DNSA operations.

Job Description

Coordinate for purchasing items in a timely manner, process vender invoices, and answer to venders’ inquiries about payment. Entry and billing of options only sales orders. Generate sales orders and billing documents. Coordinate shipping of items locally and internationally. Prepare commercial invoices, packing lists, and shipping documents for shipping items. Update ERP for items receipt and provide report of items receipt for project billing. Compiles and maintains records of business transactions and office activities of establishment. Support and update processes to grow the department.

Job Responsibilities

• PO Processing:
  • Review venders’ quotes and issue POs to venders.
  • Coordinate to generate new vender number.
  • Generate new part numbers.
  • Expedite components as needed to keep project timeline.
  • Facilitate communication between departments about material receipt.
  • Process venders’ invoices for payment.
  • Answer venders’ inquiry about payment processing.
  • Update the process to work between departments.
• Order Processing:
  • Generate options only sales order based on Customers’ purchase orders.
  • Generate sales orders and billing documents.
  • Ensure availability of items.
  • Bill option only sales order on time and generate invoice.
  • Maintain projects’ electronics and paper files.
  • Update the process to work between departments.
• Process Support:
  • Generate credits, debit memo, and coordinate for payment.
  • Generate proforma invoices / invoices.
  • Work with current vendors and set up new.
  • Generate commercial invoices, packing list, and shipping documents, exc.
  • Update the process to work between departments.
• Clerical:
  • Work between departments.
  • Maintain vendor filing.
• Customer Focus:
  • Maintain excellent customer service by phone & email.
• In-House Training and Learning:
  • Participate in-house training to quickly learn DNSA operation.
  • Demonstrate adaptability and capability to follow and implement learned processes into daily tasks.
• Customer Interaction and Support:
  • Collaborate with customers to understand their technical requirements and or needs based on the job.
  • Provide customer support and training, ensuring efficiency within a process.
