Role Description
Lumini Windows & Doors is seeking a motivated and highly organized Sales Development Representative, Inside Sales & CRM Coordinator to support sales and business development activities.
This full-time, on-site role in Chicago combines outbound prospecting, inbound lead follow-up, appointment setting, inside sales support, and CRM management. The position ensures that all leads are properly contacted, qualified, documented, and consistently followed through the sales pipeline.
The ideal candidate communicates confidently by phone and email, is comfortable engaging new prospects, and is disciplined in maintaining accurate records and follow-up schedules. This role works closely with sales, estimating, marketing, operations, and leadership to build a strong, organized, and reliable sales pipeline.
Key Responsibilities
- Conduct outbound calls and send personalized emails to contractors, developers, architects, designers, builders, dealers, and homeowners.
- Respond quickly to inbound leads from website inquiries, advertising, referrals, phone calls, and email.
- Introduce Lumini’s products and services, identify project needs, and determine qualification status.
- Research prospects, companies, and projects prior to outreach when needed.
- Schedule qualified appointments, including calls, showroom visits, and site meetings.
- Follow up consistently with unresponsive or undecided prospects.
- Re-engage older leads, inactive opportunities, and past customers as appropriate.
- Qualify prospects by gathering key project details such as scope, timeline, budget, location, and decision-making process.
- Provide basic information on products, materials, lead times, installation process, and company services.
- Collect and organize drawings, specifications, photos, and other estimating requirements.
- Coordinate qualified opportunities with sales representatives and estimators.
- Follow up on estimates and proposals to confirm receipt and identify next steps.
- Support preparation of emails, presentations, and proposal materials as needed.
- Maintain clear, professional communication throughout early-stage sales interactions.
CRM Coordination and Pipeline Management
- Enter and update all leads, contacts, companies, and opportunities in the CRM accurately and promptly.
- Maintain complete records of communications, notes, documents, and follow-up activities.
- Ensure every opportunity has an assigned owner, current status, and next action date.
- Update pipeline stages as opportunities progress.
- Monitor overdue tasks, missing information, and inactive opportunities.
- Maintain clean data by preventing duplicates and correcting inconsistencies.
- Organize contact lists by segment, market, location, and project type.
- Support CRM workflows, reminders, email sequences, dashboards, and reporting.
- Prepare weekly pipeline reports covering activity, follow-ups, appointments, and opportunity status.
- Reinforce consistent CRM usage across the sales team.
Team Coordination
- Collaborate with sales, estimating, marketing, operations, and administration to ensure smooth handoffs.
- Participate in sales and pipeline meetings.
- Communicate key customer updates, deadlines, and project details to relevant team members.
- Support tracking and organization of marketing-generated leads.
- Help identify effective lead sources and outreach channels.
- Represent Lumini professionally in calls, meetings, showroom visits, and occasional local events.
Performance Expectations

Qualifications
- Experience in sales development, inside sales, appointment setting, customer service, lead generation, or CRM coordination preferred.
- Industry experience in construction, windows and doors, building materials, home improvement, real estate, or related fields is a plus.
- Strong communication skills (phone, email, written, and interpersonal).
- Confidence initiating conversations and qualifying prospects.
- Strong organizational skills and attention to detail.
- Ability to manage multiple leads, deadlines, and follow-ups.
- Experience using CRM systems and business software (email, spreadsheets, calendars).
- Ability to learn technical product and project terminology.
- Self-motivated, dependable, and performance-driven.
- High school diploma or equivalent required; additional education is a plus.
- Ability to work full-time on-site in Chicago.
