Job summary

Colgate-Palmolive is seeking a Sales Operations Specialist for our Scottsdale, AZ office. The role bridges Sales, Finance, and Supply Chain to ensure accurate orders and optimal customer experience. 4 days onsite weekly with Fridays remote.

Responsibilities include order entry, lifecycle management, inventory vigilance, and supporting product launches and promotions. 2+ years in similar roles preferred; strong data accuracy is essential.

Qualifications

• High school degree or equivalent
• 2+ years in Sales Operations, Order to Invoice Management, or a related administrative/accounting role
• Experience with Enterprise Resource Planning systems and Customer Relationship Management software
• Exceptional accuracy in data entry and a detective mindset for resolving invoice disputes and inventory discrepancies

Responsibilities

• Execute accurate and timely order entry into the ERP system.
• Manage the full order lifecycle and provide real-time status updates to stakeholders.
• Monitor inventory levels and proactively manage Out of Stock scenarios.
• Lead account collections and credit card maintenance.
• Resolve invoice disputes and process debit/credit memos and invoice corrections.
• Lead the processing of customer returns and corporate buy-back programs.
• Facilitate the setup of new accounts by reviewing paperwork and coordinating with Master Data Management and Accounting departments.
• Enter and maintain high-quality customer master data for reporting accuracy.
• Provide operational support for product launches and sales promotions.
• Manage education registrations and troubleshoot Marketing/Education coupon issues.
• Premium phone-based customer service with dedicated phone time.
