Job summary

Malin's sales coordinators are essential members of the sales team, supporting our sales representatives and coordinating all sales-related activities such as pre-sales processes, coordinating orders, preparing proposals and calculating rates to help achieve our targets.

A sales coordinator acts as a liaison between the sales team and customers, handles customer inquiries, and helps ensure sales targets are met by coordinating resources and improving efficiency.

Qualifications

• Associate’s degree in business preferred.
• Minimum of three years of administrative experience.
• Experience with lean management or process improvement is a plus.

Responsibilities

• Perform preliminary checks on incoming orders for completeness and accuracy.
• Generate and update core sales files in ERP and order tracking systems.
• Process same-day orders and follow Malin’s order standards.
• Coordinate and respond to sales team requests in a timely and professional manner.
• Process revisions and ensure supporting documentation is provided.
• Process purchase orders with vendors and maintain vendor relationships.
• Liaise between sales and Marketing, Logistics and Finance to ensure smooth processes.
• Follow up on in-progress orders to collect all required information.
• Communicate customer concerns or special requests to sales reps.
• Call vendors and customers to support sales with requests.
• Work with sales reps to deliver excellent customer service and reduce paperwork.
• Assist with outstanding receivables by providing invoices.
