Job summary

Zero Impact Solutions is seeking a Sales Admin to be the operational engine behind our sales team. You own the systems, data and cadence turning proposals into funded, permitted and built projects.

This role is analytical, not clerical: you think like a business analyst, work like a project manager, and use AI daily to accelerate work. You’ll support deal flow and manage projects across sales, incentives and construction.

Qualifications

• 1–3+ years in sales operations, sales support, business analysis, CRM administration or project coordination.
• Experience with CRM platforms; proficient in Salesforce/HubSpot.
• Strong written and verbal communication abilities.
• Ability to manage multiple projects with deadlines.
• Familiar with Agile/Scrum methods and tools (Jira, Smartsheet, MS Project, Asana, Monday).
• AI fluency and ability to draft proposals and communications.

Responsibilities

• Handle sales support and deal flow, including proposals, quotes and follow-ups.
• Maintain proposal templates, pricing sheets and collateral.
• Qualify leads, schedule discovery calls and move pipeline.
• Prepare RFP/RFQ responses and track incentives (CALeVIP, LCFS).
• Support contract execution and hand off to engineering and construction.
• Run weekly status reviews with cross-functional teams (sales, engineering, incentives, construction).
• Maintain Salesforce and Smartsheet trackers and dashboards; build reports.
• Develop and improve sales playbook and processes.
