This individual works closely with sales professionals, technical specialists, and internal business teams to define project requirements, develop supporting documentation, coordinate proposal activities, and facilitate successful project launches.

The position is responsible for organizing cross-functional resources, establishing clear expectations, identifying potential challenges, and ensuring all necessary information is communicated before work transitions to the appropriate execution teams. The ideal candidate is highly organized, detail-oriented, analytical, and effective at managing multiple priorities in a collaborative business environment.

Key Responsibilities:
  • Collaborate with sales representatives, technical personnel, and operational teams to establish project requirements, deliverables, and expectations.
  • Develop comprehensive project documentation that clearly outlines customer requirements, responsibilities, timelines, and deliverables.
  • Obtain appropriate internal approvals and ensure all necessary details are finalized before transitioning projects to execution teams.
  • Recognize potential issues, missing information, resource constraints, and project dependencies, proactively addressing concerns as they arise.
  • Assist with evaluating and coordinating modifications to project requirements throughout the engagement.
  • Oversee the coordination of proposal activities, including initial requests, response planning, internal assignments, and submission deadlines.
  • Work with subject matter experts and department representatives to gather technical and operational information needed for proposal development.
  • Monitor proposal progress to ensure responses are accurate, complete, aligned with requirements, and submitted within established timelines.
  • Coordinate internal personnel and subject matter experts to ensure appropriate resources are identified and engaged for new business initiatives.
  • Organize and facilitate project initiation meetings to communicate scope, expectations, schedules, responsibilities, and relevant background information.
  • Act as a primary liaison between commercial and operational teams regarding incoming projects, resource requirements, and transition activities.
  • Ensure operational stakeholders receive the documentation and information necessary to effectively assume responsibility for new engagements.
  • Evaluate existing workflows and identify opportunities to improve documentation standards, coordination procedures, and overall process efficiency.
  • Develop and maintain standardized procedures, templates, and guidelines for project documentation and proposal coordination.
  • Assist with monitoring performance indicators related to proposal activity, project documentation, and operational transitions.
  • Maintain accurate records, project information, and activity tracking within the organization's customer relationship management system.
  • Coordinate meetings, project discussions, and internal planning sessions, distributing follow-up communications as needed.
  • Document meeting outcomes, outstanding responsibilities, deadlines, and assigned action items.
  • Monitor outstanding deliverables and maintain consistent follow-up to ensure commitments are fulfilled.
  • Prepare written communications, project summaries, progress reports, and other supporting business documentation.
  • Maintain organized records and ensure relevant project information is accessible to internal stakeholders.
Qualifications:
  • Bachelor's degree from an accredited institution or an equivalent combination of relevant education and professional experience.
  • 5–8 years of experience in sales operations, project coordination, business operations, or a comparable administrative or operational support function.
  • Previous involvement in developing scopes of work, coordinating formal proposals, or managing requests for proposals.
  • Experience working within a customer relationship management (CRM) platform, preferably Salesforce.
  • Exposure to information technology, outsourced business solutions, managed services, or technology-related service delivery.
