Job summary

MEI Industrial Solutions in Virginia is seeking a Sales Operations Assistant to support the sales team with estimates, invoicing, and project documentation, enabling sales staff to focus on core selling activities.

You will coordinate with accounting, manage CRM data, and maintain warehousing records while handling confidential information and ensuring compliance with company policies.

Qualifications

• Associate’s degree or 2 years’ experience in sales operations capacity.
• 2 years of experience using Microsoft Office (Word, Excel, Outlook, PowerPoint).
• Bachelor’s degree preferred.
• 2 years of experience in fast paced construction industry environment preferred.
• Familiarity with Salesforce or other CRM systems.
• Ability to adhere to company processes and drive improvements.
• Self-starter, outgoing personality.
• Experience with web-based CRM system.
• Excellent written and oral communication and interpersonal skills.
• Excellent organizational, detail oriented, and time management skills.
• Ability to maintain discretion and confidentiality of information.
• Ability to multi-task and meet deadlines with a customer service demeanor.

Responsibilities

• Assist or complete estimates requiring immediate attention while salespersons are in the field.
• Perform collection duties and document all collection related communication.
• Generate daily paperwork, such as work orders and vendor purchase orders with complete details.
• Communicate with customers regarding change orders, storage confirmations, and new information packets.
• Coordinate work order requirements and dispatch communications for the digital job board.
• Administer the job packet process through invoicing submission to accounting.
• Create, update, and maintain documents and spreadsheets for costs and projects.
• Complete employee clearance/badging documents for secured job sites.
• Apply for and obtain vehicle permits for oversized loads and cranes as required.
• Act as liaison between sales, accounting, and rigging operations.
• Submit invoicing data with job cost codes per AIA documents.
• Track and maintain accuracy of sales projections in CRM.
• Develop and update warehousing inventory spreadsheets and storage billing data.
• Reconcile employee credit card transactions and documentation.
• Follow up on submitted estimates and document customer communications.
• Other sales responsibilities or ad hoc duties as needed.
