Job summary

Puff 'n Stuff Catering and Events seeks a Sales Event Coordinator to lead operational and administrative tasks during planning and delivery. You will communicate with clients, manage updates, process payments, and coordinate across departments to ensure timely, professional responses for each event.

The role supports the Sales Event Planner, handling deposits, scheduling, and on-site production as needed, in a fast-paced environment, with a focus on exceptional experiences and team collaboration.

Qualifications

  • Minimum 1-2 years catering or banquet administrative experience.
  • College degree in hospitality or Business Administration preferred.
  • Strong verbal and written communication skills with a friendly demeanor.
  • Ability to stay organized while handling multiple projects.
  • Proficient with Microsoft Office including Word, Excel, Outlook, Power Point and Publisher.
  • Proficiency in Caterese and Prismm preferred.
  • Critical thinking and problem-solving skills.
  • Ability to work independently and take initiative.
  • High business acumen and understanding of client needs.
  • High emotional intelligence and interpersonal awareness.
  • Thrives in a fast-paced, dynamic environment.

Responsibilities

  • Create Special Event Orders with attention to detail with guidance from the SEP.
  • Correctly input order information into Caterese software.
  • Create event diagrams in Prismm (formerly Allseated).
  • Perform with a high level of proficiency client communication, responding to voice mails and emails in a timely manner.
  • Confirm scheduled appointments, planning sessions and tastings.
  • Order rental equipment for events in a timely manner, including cost summaries and purchase orders when necessary.
  • Communicate with Operations about logistics for events.
  • Manage event deposits, payments, and accounts receivable to ensure all payments are collected on schedule.
  • On occasion, perform the On-Site event production responsibilities in the absence of Sales event planner as necessary to ensure quality of service and presentation.
  • Provide efficient and professional service at an appropriate level to meet or exceed client's needs.

The Sales Event Coordinator plays a critical role in the successful execution of all sales events, serving as a key partner to the Sales Event Planner throughout the planning and delivery process. This position is responsible for managing essential operational and administrative components, including direct client communication, event updates and revisions, payment processing, cross-departmental coordination, and ensuring timely, professional responses to all event-related correspondence. The Sales Event Coordinator is expected to exercise sound judgment, exceptional organization, and a high level of professionalism while managing multiple priorities in a fast-paced environment. Success in this role requires composure, adaptability, and a positive, solutions-oriented mindset, with the ability to navigate challenges gracefully and contribute to an engaging, high-energy team culture.
