Job summary

AAA Mountain West Group is seeking an administrative teammate to support a busy sales team, coordinating with schedulers and installers and handling post-sale inquiries and billing processes. You will review Salesforce cases, train new staff, and help develop policies and procedures.

The role involves hybrid onsite work in Tempe, AZ, with opportunities to contribute to process improvements and customer service excellence in a fast-paced environment.

Qualifications

• 2+ years of administrative experience supporting a sales team or similar
• Call center experience preferred
• High School Diploma or GED required; Bachelor's degree preferred

Responsibilities

• Assist sales team in coordinating with schedulers and installers for job completion, post sales QA, and answer questions regarding products, installation, billing; manage Salesforce cases and transfer to correct queues.
• Reconcile monthly sales and contests; train new hires on systems; assist in policies and procedures development; act as liaison between Sales Rep and IT for technical issues.
• Perform other duties as assigned

NOTE: This role is hybrid and requires 3 days a week onsite in our Tempe, AZ office. Occasional weekend shifts maybe required based on business needs.

Essential Duties

• Assist sales team in coordinating with schedulers & installers for job completion, thorough post sales Quality Assurance process review and follow up with post sales customer questions regarding products, installation, billing etc. Coordinate with cross functional teams to ensure administrative elements of post sales needs are completed including Salesforce case review and billing or equipment addendums. Administer and review Salesforce cases and transfer to correct team queue.
• Reconcile monthly sales and contests. Assist with training new hires on various systems. May also assist in training on products and processes. Liaison between Sales Rep and IT when Sales Rep is experiencing technical issues. Assist in development of new policies and procedures. Ad hoc training with sales reps based on need. Special projects as needed.
• Other duties as assigned

Knowledge and Skills

• Thorough understanding of Salesforce, Hubspot or similar Customer Relation Management system
• Ability to provide outstanding customer service to both internal team members and external customers.
• Highly organized with strong attention to detail.
• Strong written and verbal communication skills
• Ability to communicate effectively and professionally

Education and Experience

• 2yrs + of administrative experience supporting a sales team (supporting high volume sales teams preferred).
• Call center experience (preferred)
• High School Diploma or GED required.
• Bachelor’s degree (preferred).

Working Environment

Works in an office environment sitting at a desk, table or computer workstation for extended periods of time. Approximately 80 percent of the time spent on the job involves the use of a computer and telephone.
