Job description

This sales admin reports to the company president and is responsible for providing administrative support to our inside sales team. Responsibilities include order entry, customer communications, managing and reporting key performance indicators, generating sales reports, handling customer inquiries, maintaining accurate records, preparing weekly open order reports, and ensuring smooth order fulfillment. This role acts as the backbone of the sales department, ensuring customers are informed about delivery times. The person will interact with departments such as Sales, Operations, Product, Shipping, and Production. The position is full-time, remote, with weekly meetings via online conference tools.

Responsibilities:

  1. Enter and track sales orders
  2. Ensure all sales order data entry is accurate and matches customer purchase orders
  3. Send sales order confirmations to customers via email
  4. Review shipping reports to confirm product delivery dates
  5. Follow up with customers about shipment or receipt dates
  6. Share shipment tracking information once products are shipped
  7. Create and send weekly open order reports for key customers
  8. Maintain accurate records of shipped samples
  9. Generate and share monthly and quarterly sales reports with management
  10. Redirect customer inquiries to appropriate departments
  11. Maintain excellent written and verbal communication skills
  12. Demonstrate organizational, problem-solving, and multitasking abilities
  13. Pay close attention to detail and accuracy
  14. Work independently and prioritize tasks effectively
  15. Show effective problem-solving skills

Ideal Qualifications:

  3. College degree (BA/BS) preferred but not required
  4. Ability to work full-time
