Qualifications

Responsibilities

  • Coordinate group rooming lists, reservations, and banquet details; ensure billing accuracy.
  • Assist in maintaining relationships with corporate accounts; pursue new opportunities.
  • Support marketing initiatives, promotions, and occupancy strategies.
  • Maintain organized sales files, invoices, and forecasting reports.

Job Summary

The Hotel Sales Coordinator provides administrative and operational support to the Sales Department while assisting in generating revenue through corporate, group, government, sports, and extended-stay business. This position serves as a liaison between the sales team, hotel departments, and clients to ensure a seamless experience from the initial inquiry through post-event follow-up. The Sales Coordinator plays a key role in maintaining customer relationships, managing sales systems, preparing contracts, and supporting the hotel's revenue and occupancy goals.

Essential Duties and Responsibilities
Sales Support
  • Assist the Director of Sales and General Manager with daily sales activities.
  • Respond to telephone, email, and online inquiries in a timely and professional manner.
  • Prepare proposals, contracts, group agreements, and banquet or meeting room documentation.
  • Maintain accurate customer records in the CRM system.
  • Generate reports on production, account activity, pace, and sales performance.
  • Coordinate group rooming lists and reservation details with the Front Office.
  • Prepare weekly sales meeting agendas and minutes.
Account Management
  • Assist in maintaining relationships with existing corporate accounts.
  • Prospect new business opportunities through research, cold calls, email campaigns, and networking.
  • Schedule sales appointments and hotel site inspections.
  • Conduct hotel tours for prospective clients.
  • Support negotiations while maintaining rate integrity and profitability.
Event & Group Coordination
  • Coordinate all group details between clients and hotel departments.
  • Ensure meeting room setups and guest requests are communicated effectively.
  • Work closely with Housekeeping, Maintenance, Front Office, and Food & Beverage to execute group needs.
  • Monitor group blocks, pickup, cut-off dates, and billing arrangements.
  • Conduct post-event follow-up to ensure guest satisfaction.
Marketing & Revenue Support
  • Assist with local marketing initiatives and community partnerships.
  • Support social media promotions and hotel marketing campaigns.
  • Help maintain promotional materials and collateral.
  • Monitor competitor activity and market trends.
  • Assist with implementing strategies to increase occupancy, ADR, and RevPAR.
Administrative Responsibilities
  • Maintain organized sales files and contracts.
  • Prepare invoices, billing documentation, and credit applications.
  • Process commission payments and third-party booking documentation.
  • Maintain accurate forecasts and sales tracking reports.
  • Assist with monthly and quarterly business reviews.
Qualifications
  • High school diploma required; Associate's or Bachelor's degree in Hospitality, Business, Marketing, or related field preferred.
  • Minimum one year of hotel, hospitality, sales, or customer service experience preferred.
  • Strong communication, organization, and multitasking skills.
  • Excellent interpersonal and relationship-building abilities.
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Experience with hotel property management systems HotelKey and CRM systems is preferred.
  • Ability to prioritize multiple projects in a fast-paced environment.
