The area sales coordinator supports the area with administrative tasks and generates top-line revenue by bringing in new customers, as directed by the Regional Director of Sales. They serve as a direct link between the area and the sales team, ensuring seamless communication.
About the Role
Responsibilities include, but are not limited to, promoting the area at trade shows, arranging area accommodation for clients, handling special requests, completing assigned administrative duties, and promptly responding to client inquiries.

- Assist with developing and maintaining the business/marketing plan with the Cluster Sales team.
- Qualify leads and prospects gained from tele-prospecting, cold calls, sales blitzes, and other lead sources.
- Establish and maintain close contact with top and target accounts through phone calls, appointments, tours, written correspondence, and entertainment.
- Assess clients' current and future needs.
- Coordinate and participate in associate functions, client and guest events, community events, and sales blitzes with the team.
- When on property, set up tables, chairs, and linens. Set and refresh all food and beverages, empty trash, vacuum, and sanitize rooms for events.
- Prepare final bills and code invoices for events, and submit them to the RDOS on time for approval before sending them to the client or vendor.
- Take, modify, and cancel guest reservations, noting any special requests.
- Handle tours and schedule potential site tours with clients as requested.
- Handle and qualify all incoming calls to the sales department office line and conduct prospecting calls as requested. Submit qualified leads to the corresponding Director.
- Submit quotes on brand systems, CVENT, and other lead-generating sites.
- Assist with updating the sales tracking system and scanning documents to email to clients.
- Create proposals, contracts, and BEOs as needed and manage communication with the area teams for group follow-up.
- Maintain accurate sales files and a trace system on top and target accounts in the company sales tracking system.
- Build rooming lists in the PMS system and assist with adding additional sleeping rooms as approved.
- Build and assist with sales and event bookings and send pickup reports as requested by the client.
- Attend sales meetings and prepare the revenue call agenda before the call if needed.
- Prospect a list of company and referral leads generated through research, networking, social media, and special events.
- Manage all social media for the areas.
- Assist the sales team by managing schedules, filing important documents, and communicating relevant information.
- Other duties as assigned by the Executive Team.
