Job summary

Levy in Kansas City seeks a Sales Coordinator for Cultural Attractions to support catering sales at two venues. You will liaise with clients, venue partners, and leadership to plan and execute catered events and services, from inquiry through post-event billing.

The role requires strong communication, organization, and the ability to manage multiple events and deadlines across locations. Proficiency in MS Office and familiarity with event systems are a plus.

SUMMARY: The Sales Coordinator (Cultural Attractions - Kansas City) provides administrative support for the food & beverage catering & event sales for two assigned venues in the division. This role acts as a liaison between clients, venue partners, and location leadership to plan, detail, and execute catered events and services.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

• Provide timely, responsive, and relevant communication for full life cycle of catering sales process (from initial inquiry to post-event billing, follow-up, and repeat business).
• Communicate via telephone, email, and in person in a timely, professional, and clear manner.
• Create/maintain client files for current, future, and referral business needs.
• Generate customized proposals, contracts, and other internal documents to document client orders and to company specification.
• Communicate pricing, order changes, and other cost related details between client and venue to ensure accurate preparation, cost management, and billing.
• Complete Banquet Event Orders (BEOs) via specialized software to detail all aspects of food and catering aspects of client events, per company standards, specifications, and location options.
• Ensure all dietary restrictions and allergies are clearly notated and communicated.
• Provide recommendations (and up-sell options) to clients according to their ideas and requests, as well as to enhance their event; alternative food and beverage options, and/or communicating internally with location leadership regarding ability to execute as proposed.
• Must be able to build trust with clients and serve as a consultative partner for both clients and Venue-specific Event teams.
• Demonstrate high level of organization and attention to detail.
• Ability to manage multiple events, clients, and deadlines, across both locations, and conscientious of the nuances of each unique location (culture, approaches, business model, clientele)
• Ability to manage complex pricing structures, discount programs, and data entry.
• Ability to collaborate across both venues, navigating different approaches and venue specific event philosophies
• Strong internal communication with venue sales teams, event managers, and Levy operational leaders
• Ability to balance competing priorities across the two venues
• High aptitude for learning new & proprietary software & internal systems, as well as advanced user in MS Office (Excel, Outlook, Word, Teams, etc.)
• Experience with event management systems preferred, and experience with INFOR a plus
• Ability to quickly learn new software and administrative systems.
• Thrives in a fast-paced environment
• Ability to pivot quickly when client needs change.
• Comfortable working between multiple locations and teams.
• Demonstrate commitment to providing thoughtful hospitality to all clients, while demonstrating sound business acumen of the venue and operations.
