Job summary

Shoppa’s Material Handling is seeking a Sales Administrator Supervisor to lead the corporate order processing function and align branch coordination with corporate processing from submission to invoicing. This role ensures accurate, timely, and consistent execution of sales orders across the business.

The ideal candidate will have prior leadership experience and strong skills in order management, ERP systems, and MS Office, with a focus on data integrity and process optimization.

Qualifications

  • Associate's or Bachelor's degree in Business, Supply Chain, Operations Management, or related field preferred.
  • Previous leadership or supervisory experience preferred.
  • Experience in order management, sales administration, customer service, or operations.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with ERP systems or order management software preferred.

Responsibilities

  • Lead and supervise the Sales Administration team to ensure efficient daily operations.
  • Monitor order processing activities to ensure accuracy, timeliness, and compliance.
  • Manage the complete order lifecycle from order entry through invoicing.
  • Communicate product price changes and process updates to the team.
  • Review and approve order changes and exceptions.
  • Ensure order accuracy and maintain data integrity within business systems.
  • Track and improve order turnaround times and aging orders.
  • Execute and oversee order acknowledgements and order creation.
  • Coordinate delivery scheduling and order release activities.
  • Manage invoice creation, billing, and credit/rebill processes.
  • Create and process purchase orders for third-party vendors.
  • Resolve customer order issues and disputes in a timely manner.
  • Monitor Voice of Customer (VOC) surveys and customer satisfaction metrics.
  • Support receiving documentation and equipment transactions as needed.
  • Participate in daily operational meetings and visual management activities.
  • Identify opportunities to improve workflows, reduce delays, and standardize processes.
  • Support department training, onboarding, and continuous improvement initiatives.
  • Perform root cause analysis on order processing issues and implement corrective actions.

JOB SUMMARY:

The Sales Administrator Supervisor leads the corporate order processing function and ensures alignment across the full order lifecycle. This role is responsible for leading and optimizing the sales administration function to ensure accurate, timely, and consistent execution of sales orders across the business. The Sales Administration Manager oversees the corporate sales administration team while helping ensure smooth alignment between branch coordination and corporate processing from order submission through invoicing.
