Job summary

  • Plan and execute internal meetings and retreats, book venues, manage agendas.
  • Manage and organize resources in preparation for the event.
  • Support on-site networking events, signage, staffing, and catering as needed.
  • Coordinate programming across venues and ensure smooth on-site operations.

Seasonal EDU Operations Coordinator
Job Purpose

SXSW is seeking a Seasonal EDU Operations Coordinator to work as part of the programming team to produce and execute a robust program for the SXSW EDU Conference & Festival. They support programming efforts across all elements, including sessions, competitions, performances, and Film & TV. This position plays a crucial role in the programming execution process, supporting production logistics both pre-event and on-site.

Duties & Responsibilities

Responsibilities include, but are not limited to:

  • Communicate with organizers, participants, and speakers in support of production logistics.
  • Support the advancement of production, security, and accessibility needs for speakers and participants.
  • Provide excellent customer service via the general SXSW EDU email account, responding in a timely manner.
  • Coordinate content submission, proofing, and deployment for print and digital signage.
  • Plan and execute internal meetings and retreats, booking venues and managing agendas.
  • Manage and organize various resources in preparation for the event.
On-Site Event Responsibilities
  • Support multiple on-site networking events, including coordinating food and beverage services, signage, and staffing.
  • Support and coordinate programming on-site across all venues
  • Additional event support duties fulfilled as needed throughout SXSW
Qualifications & Skills
  • Experience in large-scale event planning
  • Ability to multitask in a fast-paced, collaborative environment
  • Self-starter with strong prioritization and problem-solving skills
  • Strong written and verbal communication skills; customer service experience preferred
  • Attention to detail; copy-editing experience preferred
  • Interest and/or experience in the field of education
  • Proficiency with FileMaker Pro, Zendesk, Google Workspace, and Airtable
Physical Requirements
  • Prolonged periods of sitting or standing at a desk and working on a computer.
  • Ability to lift up to 20 pounds occasionally, as needed.
  • Operation of standard office equipment, including computers, phones, and printers.
  • May require occasional bending, reaching, kneeling, or climbing stairs.
  • Ability to work outdoors, including exposure to varying temperatures or noise levels.

Work Location & Schedule

The position is full-time and located in Austin, Texas. Core business office hours are from 10 am to 6 pm Monday through Friday. You must be available to work additional hours from January through March, including evenings and weekends. You must also be available for the March event, which will have extended working hours on-site.
