Qualifications

Responsibilities

  • Coordinate daily Ryan White Part B operations, including referrals, intake, eligibility, case management workflows, service authorizations, and follow-up.
  • Monitor caseloads, staff assignments, and service delivery to support timely, consistent client services; escalate issues requiring Director decision.
  • Supervise Ryan White service staff, set daily priorities, provide guidance and technical assistance, and ensure accountability.
  • Review staff work for adherence to policies and standards; address concerns and follow up on corrective actions.
  • Coordinate onboarding, training, and professional development based on program requirements.
  • Review client records, eligibility documentation, and service entries for completeness, accuracy, timeliness, and compliance.
  • Oversee data entry in required systems and logs.
  • Support program reporting and quality management by monitoring data and resolving discrepancies.
  • Assist with monitoring visits, peer reviews, and audits.
  • Work with Director of Health Services on program administration and grant implementation.
  • Coordinate with case management staff and partners to support continuity of care and referrals.
  • Participate in required meetings and trainings.
  • Perform other related duties as assigned.

JOB TITLE: Ryan White Services Manager
REPORTS TO: Director of Health Services
CLASSIFICATION: Full-time/Exempt
POSITION OVERVIEW:

The Ryan White Services Manager provides day-to-day operational oversight of Ryan White Part B service delivery and supports the Director of Health Services in effective program administration. The Manager supervises service staff, coordinates daily operations and client service workflows, monitors adherence to policies and service standards, and helps implement program requirements and priorities set by the Director. The position translates grant requirements and program policies into consistent daily practice.

RESPONSIBILITIES AND DUTIES:
Program operations
  • Coordinate daily Ryan White Part B operations, including referrals, intake, eligibility, case management workflows, service authorizations, and follow-up.
  • Monitor caseloads, staff assignments, and service delivery to support timely, consistent client services; identify and resolve operational barriers, escalating matters that require the Director’s decision.
  • Put approved procedures and operational priorities into practice across the service team and communicate changes clearly to staff.
Staff supervision and development
  • Supervise Ryan White service staff, set daily priorities, provide guidance and technical assistance, and support accountability for assigned work.
  • Review staff work for adherence to established policies, procedures, documentation requirements, and service standards; address concerns and follow up on corrective actions as appropriate.
  • Coordinate onboarding, training, and professional development based on program requirements and identified staff needs.
Documentation, monitoring, and reporting
  • Review client records, eligibility documentation, and service entries for completeness, accuracy, timeliness, and compliance; conduct routine chart reviews and follow up on findings.
  • Oversee consistent entry and maintenance of client and service information in required data systems and logs.
  • Support program reporting and quality management activities by monitoring service data, helping resolve discrepancies, and preparing information requested by the Director.
  • Support preparation for Ryan White monitoring visits, peer reviews, and audits; help staff assemble records and implement follow-up actions.
Coordination and communication
  • Work closely with the Director of Health Services on program administration, emerging service needs, operational risks, and implementation of grant requirements.
  • Coordinate with case management staff, program partners, and other service providers to support continuity of care and timely referrals.
  • Participate in required Ryan White meetings, staff meetings, trainings, and other program activities.
  • Perform other related duties as assigned.
REQUIRED SKILLS AND ABILITIES:
  • Knowledge of HIV care and treatment, Ryan White service delivery, client eligibility, and documentation requirements.
  • Ability to supervise and support staff, organize competing priorities, and resolve day-to-day service issues.
  • Strong written and verbal communication skills and the ability to work respectfully with diverse populations.
  • Proficiency with Microsoft Office and the ability to use program data systems accurately.
  • Valid driver’s license and reliable transportation.
EDUCATION AND EXPERIENCE:
  • Bachelor’s degree in human services or a related field, or at least three years of experience in HIV care services or a related field.
