Job summary

Vanir Installed Sales is seeking a Project Accountant to manage residential project accounting, including ERP setup, invoicing, and closeout. You will coordinate with Account Managers, procurement, and field teams to ensure accurate records and timely payments.

The role requires experience in project or construction accounting, strong Excel skills, and proficiency with ERP systems such as Sage Intacct. A degree in accounting or related field is preferred, with ongoing opportunities for growth.

Qualifications

• High school diploma or GED required; associate's or bachelor's degree in accounting, business administration, or related field preferred.
• Minimum of two years of experience in project accounting, construction accounting, job costing, or related administrative function in construction or specialty trades.
• Proficiency in ERP systems; Sage Intacct or comparable construction ERP strongly preferred.
• Intermediate-to-advanced Excel proficiency with formulas, lookups, and data validation.
• Knowledge of purchase order processing, sales order management, and vendor coordination workflows.
• Strong attention to detail and ability to resolve discrepancies in financial documents and project records.
• Effective written and verbal communication skills; ability to coordinate across multiple departments and external stakeholders.
• Ability to manage a high volume of concurrent projects with accuracy and deadlines.

Responsibilities

• Set up new residential projects in the ERP system and Vanir App with accurate documentation.
• Review project packages, PO's, takeoffs, and quotes; participate in kick-offs and coordinate corrections with Account Managers.
• Purchase and coordinate project materials; issue POs, monitor lead times, and manage vendor coordination.
• Set up subcontractors and installation labor in company systems with complete information.
• Manage residential job invoicing and closeout, verifying labor, PO status, backorders, and invoice discrepancies.
• Administer Variance Purchase Orders (VPOs) from request to completion, including material orders and labor payments.
• Maintain project records across ERP, Airtable, Dropbox, and field management systems; support month-end closing and resolve issues.

What you will do

• Set up new residential projects in the ERP system and Vanir App, ensuring accurate customer, job, material, pricing, labor, and project documentation.
• Review project packages, purchase orders, takeoffs, and quote summaries for accuracy; participate in project kick-off meetings and coordinate corrections with Account Managers as needed.
• Purchase and coordinate project materials, issue purchase orders to vendors, monitor lead times and builder portals, and manage material fill-in requests with vendors, Field Managers, and warehouse teams.
• Set up subcontractors and installation labor within company systems, ensuring required information and documentation are complete and compliant.
• Manage residential job invoicing and closeout, including verifying completed labor, purchase order status, backorders, invoice discrepancies, and builder portal requirements.
• Administer Variance Purchase Orders (VPOs) from request through completion, including material ordering, subcontractor setup, approvals, labor payments, fill-ins, and timely invoicing.
• Maintain accurate project records across ERP, Airtable, Dropbox, and field management systems, while partnering with Field Managers, Credit, and Project Accounting to resolve project or account issues and support month-end closing activities.

What We Are Looking For

Required:

• High school diploma or GED required (associate's or bachelor's degree in accounting, business administration, or a related field preferred).
• Minimum of two (2) years of experience in project accounting, construction accounting, job costing, or a related administrative function within the construction or specialty-trades industry.
• Proficiency in ERP systems required; experience with Sage Intacct or comparable construction ERP strongly preferred.
• Intermediate-to-advanced proficiency in Microsoft Excel, including formulas, lookups, and data validation.
• Working knowledge of purchase order processing, sales order management, and vendor coordination workflows.
• Strong attention to detail, with the ability to identify and resolve discrepancies in financial documents and project records.
• Effective written and verbal communication skills, with the ability to coordinate across multiple departments and external stakeholders.
• Ability to manage a high volume of concurrent projects while maintaining accuracy and meeting established deadlines.

Preferred:

• Associate's or bachelor's degree in accounting, business administration, or a related field.
• Experience with Airtable, construction project-management software (BuilderTrend or similar), and builder portal systems.
