Job summary

Gray Hawk Land Solutions seeks a meticulous Document Specialist to steward right-of-way project files from line lists through construction. You will ensure every easement, deed, and ownership record is accurate, organized, and accessible for field teams, project managers, and clients.

In-office role in Clarksburg, WV with per diem eligibility. You will manage data in Irth Land Management and other systems, maintain tracking spreadsheets, and coordinate with multiple stakeholders to keep projects

Qualifications

• Minimum five (5) years of experience preparing and processing ROW acquisition and easement documents.
• Understanding of all phases of a right-of-way project, from line list to construction.
• Ability to review, interpret, and process land acquisition agreements and title documents.
• Knowledge of courthouse recording requirements for easements and ROW instruments.
• Advanced Microsoft Office proficiency, especially Excel and Word.
• Strong database-entry skills and the ability to learn new systems quickly.
• Excellent written and verbal communication skills.
• Paralegal experience is a plus.

Responsibilities

• Manage, organize, and maintain all right-of-way project files from line list through construction — easements, deeds, and related records.
• Review, process, and track land acquisition agreements and related documents per courthouse requirements.
• Maintain accurate line lists and enter data into client systems, including Irth Land Management.
• Scan, file, and organize documents into electronic and physical records systems.
• Track deadlines, status, and milestones across concurrent assignments.
• Build and maintain Excel-based tracking spreadsheets and reports with formula logic.
• Coordinate with field agents, internal teams, and outside parties to keep projects moving.
• Maintain accurate records and project-status documentation; represent Gray Hawk professionally.
