Job description

WE'RE HIRING: ROVING PROPERTY SUPPORT SPECIALIST

Twin Cities Metro | Full-Time, Non-Exempt | Multiple Properties

Love meeting new people? Thrive on variety? Ready to build your property management career across a whole portfolio instead of just one building? Whitecap Management, a division of Doran Companies, is looking for a Roving Property Support Specialist to bring energy and top-tier customer service to apartment communities across the Twin Cities — wherever we need you next.

This is a role for someone who likes variety, picks up new systems fast, and genuinely enjoys helping people find their next home. One week you might be closing leases at a brand-new lease-up; the next, covering for a property manager on vacation. If that sounds exciting rather than exhausting, keep reading.

WHAT YOU'LL DO

  • Give dynamic, persuasive property tours that turn prospects into residents.

  • Screen applications, qualify residents, and prepare leases at each assigned property.

  • Be the friendly face residents and prospects count on for questions, requests, and support.

  • Travel to different Whitecap properties across the metro — sometimes with little advance notice — and adapt quickly to each site's team and systems.

  • Generate necessary legal action, documents, and process in accordance with State and Company guidelines.

  • Handle renewals, delinquency notices, violation letters, deposit accounting, and lease paperwork accurately as needed.

  • Keep resident files and administrative records clean, complete, and audit-ready.

  • Jump in on corporate support or special projects as needed.

  • Basically keep property processes flowing without missing a beat!

Essential Functions:

Customer Service:

  • Assists residents and prospects at assigned properties with questions, maintenance requests, payment of rent, or other requests.

  • Maintains a positive customer service relations attitude at every property visited.

  • Maintain Fair housing standards at all times.

  • Provide dynamic tours of apartments and community to potential residents for the purpose of leasing apartments at whichever property is currently assigned.

  • Discusses with potential residents the advantages of leasing at the property being toured.

Leasing:

  • Screens rental applications and qualifies potential residents at assigned properties.

  • Prepares leases for future residents in accordance with each property's procedures.

  • Confirm all leases and corresponding paperwork are completed and input into the software system accurately and on a timely basis.

  • Ensure that all rents are collected when due and posted in a timely manner. Make sure that all bank deposits are made immediately, and deposits are reported to the corporate office.

  • Generate necessary legal action, documents, and process in accordance with State and Company guidelines.

  • Send out delinquency notices, violation letters, etc as the needs arise.

  • Be able to discuss renewals and send proposals to residents

Travel & Scheduling Flexibility:

  • Travels to various Whitecap Management properties throughout the Twin Cities metro area as assigned, sometimes with little advance notice.

  • Maintains reliable transportation and the flexibility to work across multiple properties in a single week, or even a single day.

  • Quickly adapts to each property's team, systems, and procedures upon arrival.

Administrative Tasks:

  • Use Whitecap software and systems to manage and engage with prospects and residents

  • Ensure that A/P invoices are submitted to the corporate office for payment.

  • Ensure current resident files are properly maintained.

  • Ensure all administrative paperwork is accurate, complete, and submitted on a timely basis.

  • Completes reports as instructed by the Property Manager, Assistant Manager, Regional Property Manager or VP of Whitecap Management at each assigned property.

  • Some corporate support or special projects as assigned

Requirements

WHAT YOU BRING

  • 2–3 years of property management experience.

  • Experience with Yardi.

  • A genuine love of meeting new people and a high bar for customer service.

  • Sharp organizational and communication skills — you follow through on what you say you'll do.

  • A team-first attitude and the flexibility to adapt fast to new environments.

  • Reliable transportation and a valid driver's license — this role moves.

  • High school diploma.
