Tesoro Group is seeking an experienced Roving Facilities & Maintenance Manager to join one of our long-term client's team to help assist with their entire portfolio within the Twin Cities. The ideal candidate will have a minimum of 5 years' experience working in residential/multi-family maintenance, a minimum of 3 years' experience in a maintenance or facilities manager leadership role, have working knowledge of HVAC systems, have a current 1st Class Boilers License or experience/ability to obtain a boilers license/certification within 6 months of employment. This role is a direct hire role.

Schedule: Monday-Friday standard daytime hours: on-call rotation is applicable.

Salary: $80,000 - $85,000k DOQ. This role is a direct hire role.

Responsibilities and Job Duties:

Maintenance Operations

  • Ensure the proper maintenance of properties and assets with an intentional focus on safety, high-quality, and environmental sustainability.
  • Monitor the work order system and take steps to maximize the efficiency and effectiveness of maintenance staff in completing work responsibilities.
  • Oversee and coordinate all vendor activities.
  • Oversee activities to ensure work quality and timeliness of completion.
  • Oversee activities to ensure proper upkeep and maintenance of all premises.
  • Oversee vendor agreements and/or contracts, researching to select the most cost-effective and quality vendors within budgetary constraint.
  • Build and maintain vendor relations.
  • Coordinate with the Director of Property Management to ensure unit turns and renovations are completed in a timely and effective manner to meet rental obligations and commitments.
  • Oversee stock of maintenance and custodial supplies to ensure adequate stock on hand and to keep costs under control.
  • Monitor energy usage of properties to ensure efficient use of resources while looking for opportunities to decrease usage through projects with low cost to benefit ratios.
  • Coordinate with the Director of Property Management on safety and security for all properties.
  • Perform Maintenance Technician duties and tasks as needed.
  • Respond to emergencies and perform on-call work.
  • Complete work orders as needed to ensure timely customer service.
  • Monitor the buildings for cleanliness and safety and take steps to maximize the productivity of caretaking staff to ensure the building's presentation and image meets company standards.
  • Oversee activities to ensure a high level of work quality is performed by the Caretakers.
  • Oversee activities to ensure proper upkeep of all buildings and grounds.
  • Ensure caretakers have the necessary equipment and supplies to complete their duties.
  • Take a lead role working with the Executive Director and the Director of Property Management in proposing and/or developing current and long-term maintenance operations goals and objectives as well as policies and procedures for facilities operations to improve and update the Maintenance Department.
  • Create and implement action plans to achieve goals and ensure the long-term viability and environmental sustainability of facilities.
  • Perform special projects as needed.
  • Develop and implement policies related to facilities and operations to ensure that departmental strategic objectives are met in a timely and effective manner.
  • Supervision and employee development.
  • Organize staff duties and responsibilities to fulfill the mission and strategic plan.
  • Create a positive, engaging work culture.
  • Directly hire and supervise maintenance, custodial, and caretaking staff in partnership with Maintenance Manager.
  • Provide leadership to maintenance and caretaker staff and work direction to staff as appropriate.
  • Ensure staff have the qualifications, education, training and skills to effectively maintain facilities.
  • Oversee work plans and development plans for employees in alignment with budget and maintenance operational needs.
  • Provide training and skill-based guidance for maintenance, custodial and caretaking staff.
  • Work with the Executive Director and Director of Property Management to create and monitor operating budgets for each property site.
  • Participate in preparing annual budgets and capital improvement budgets.
  • For short and long-term budgeting purposes, evaluate the condition of the physical buildings, taking into consideration the length of life of buildings, roof, air conditioning, boilers and other physical aspects and develop repair/replace timeline and anticipated costs.
  • Monitor and analyze monthly, quarterly and annual facilities/maintenance financial report

Physical Requirements:

  • Perform heavy work as needed, lifting to 100 pounds, with regular lifting/carrying of objects weighing up to 50 pounds.
  • Twist, turn, bend, stoop, kneel, squat, stand, walk, climb, crawl and reach frequently in the performance of responsibilities including carpentry work, plumbing and electrical repairs, working with equipment, etc.
  • Hear, speak and effectively verbally and orally communicate in the English , including following oral and written instructions, to communicate with people inside and outside the organization.
  • Possess and apply manual dexterity, fine motor skills, hand and arm strength to perform maintenance and repair tasks throughout the workday, to independently lift small and large objects from all levels (floor to ceiling), to carry, move/use varied weights of small and large tools and equipment, and to include activities requiring frequent grasping, clenching, vibration, reaching, carrying, and other physical activities required in performing varied maintenance and repair work in a residential settings.
  • Visual acuity and ability for computer keyboarding, performance of equipment maintenance, working with equipment, review blueprints, diagrams, labels and other printed matter for the safe operation of equipment
  • Physical ability to move around organization/building area repeatedly throughout the day, including climbing stairs and ladders.

Qualifications, Skills and Experience:

  • Must have a valid Driver's License and reliable vehicle to travel to all property locations
  • Flexible work hours require work more than 40 hours/week, if necessary. Must be willing to work evenings and weekends as needed
  • Understands confidential nature of organization information and maintains confidence.
  • A minimum of 5 years' experience working in residential/multi-family maintenance.
  • A minimum of 3 years' experience in a maintenance or facilities manager leadership role.
  • 1st Class Boilers License is required (or experience and ability to get certification within 6 months of employment).
  • Working knowledge of HVAC systems
  • Follow oral and written instructions
  • Ability to communicate with , co-workers, and management
  • Regular, on-time attendance.
  • Valid and Current Driver's License and Proof of insurance
  • Be able to pass a background check prior to employment.
  • The candidate must be able to operate a variety of hand and mechanical equipment. In addition, be able to use various hand tools, ranging from common hand and power tools, such as hammers, saws, drills, and wrenches, to precision measuring instruments and electrical and electronic testing devices
  • Candidates must be able to use cell phones, multi-line telephones, calculators, copy machines, computers, and other office equipment.
  • Candidate must be able to drive a personal vehicle, possess a valid driver's license and up-to-date insurance coverage, to drive to properties, community meetings, activities and events
  • Solid knowledge of plumbing, electrical and mechanical systems, including maintenance, troubleshooting and repair
  • Communications, interpersonal skills as applied to interaction with coworkers, supervisors, public, contractors, community and government organizations (verbal and written)
  • Excellent organizational skills and an ability to set priorities, plan work programs for self and others, and meet deadlines
  • Maintain solid levels of computer skills (especially Microsoft word processing, spreadsheets and presentation applications), and ability to quickly master new programs
  • Able to provide customer service in a friendly, courteous, respectful, fair, flexible and responsible fashion to a wide variety of
