Job Summary

This position is responsible for processing all release of information requests in a timely and efficient manner, ensuring accuracy and providing customers with the highest quality product and customer service. The associate must always safeguard and protect the patient's right to privacy by ensuring that only authorized individuals have access to the patient's medical information, and that all releases of information comply with the request, authorization, company policy, and HIPAA regulations.

Essential Functions
  • Complete release of information requests, including retrieving and returning patient charts, scanning medical records accurately, and transmitting according to requests and established standards.
  • Date stamp all requests and highlight pertinent data for processing.
  • Validate requests and authorizations for release of medical information.
  • Perform quality checks to ensure accuracy, confidentiality, and proper invoicing.
  • Maintain equipment in excellent condition.
  • Provide excellent customer service by being attentive, respectful, and proactive in addressing client concerns.
  • Handle incoming requests via mail, telephone, or fax as needed.
  • Maintain a professional appearance and a clean work environment.
  • Stay informed about relevant state laws and fee structures.
  • Work within scope, accept additional assignments, and assist during backlogs.
  • Follow policies, procedures, and regulations, including HIPAA and other applicable laws.
  • Maintain confidentiality and security of all information.
  • Handle privileged information responsibly, ensuring efficient and accurate release of medical records.
Qualifications
  • High School Diploma (GED) required
  • At least 2 years of experience in a medical records or similar setting preferred
  • Strong computer skills, especially Microsoft Word and Excel
  • Excellent organizational skills
  • Typing speed of 50 WPM
  • Ability to operate fax, copier, and scanning machines
  • Willingness to learn new equipment and processes quickly
  • Self-motivated team player
  • Proven customer satisfaction skills
  • Ability to multi-task
  • Internet speed of at least 5 Mbps
