Job Summary

This position is responsible for processing all release of information requests in a timely and efficient manner, ensuring accuracy and providing customers with the highest quality product and customer service. The associate must safeguard and protect the patient's right to privacy by ensuring that only authorized individuals have access to the patient's medical information and that all releases of information comply with the request, authorization, company policy, and HIPAA regulations.

Essential Functions
  • Complete release of information requests, including retrieving and returning patient's medical charts, scanning records accurately, and transmitting requests according to established procedures and standards.
  • Date stamp requests and highlight pertinent data to facilitate processing.
  • Validate requests and authorizations for release of medical information according to established procedures.
  • Perform quality checks on all work to ensure accuracy, confidentiality, and proper invoicing.
  • Maintain equipment in excellent condition.
  • Provide excellent customer service by being attentive, respectful, and proactive in addressing client concerns.
  • Handle incoming requests via mail, phone, or fax, depending on client needs.
  • Maintain a neat and professional appearance and observe dress code.
  • Keep work area clean and organized, ensuring records are stored properly.
  • Maintain knowledge of state laws and fee structures.
  • Accept assignments within scope and be willing to assist during backlogs.
  • Comply with client and site policies, HIPAA, and other regulations.
  • Maintain confidentiality and security of all information.
  • Handle privileged information conscientiously, ensuring efficient and accurate release of medical records.
Qualifications
  • High School Diploma (GED) required.
  • At least 2 years of experience in a medical records department or similar setting preferred.
  • Strong computer skills, including Microsoft Word and Excel.
  • Excellent organizational skills.
  • Typing speed of 50 WPM.
  • Ability to operate fax, copier, and scanning machines.
  • Willingness to learn new equipment and processes quickly.
  • Self-motivated and a team player.
  • Proven customer satisfaction skills.
  • Ability to multi-task.
  • Internet speed of at least 5 Mbps.
