Job summary

AIC Inc. is seeking a self-motivated RMA Specialist to handle customer returns and after-sale service. The role involves managing RMAs, warranty verification, and coordinating with repair and accounting teams.

You will respond to customer inquiries daily, verify warranties, issue RMAs, quote repair charges, process credits, and ensure accurate ERP and warehouse updates. Enterprise support experience is preferred.

Qualifications

• 2-3 years of experience handling RMA processes for computer or electronic products supporting enterprise customers.
• Experience verifying warranty, issuing RMAs, and updating ERP/RMA control files.
• Strong communication with customers and internal teams to manage returns and credits.

Responsibilities

• Daily email responses to customers and HQ.
• Verify warranty and issue RMA numbers, update RMA data in ERP.
• Provide repair charge quotes and invoice repair charges.
• Process credits after repair checks and return items to warehouse.
• Close RMA by generating return SO in ERP and updating records.
• Request RMAs with vendors and update RTV control files.
• Pack and ship return parts and generate RET shipping documents.
• Distribute repaired parts to technicians after vendors' RMA return.
• Follow up with vendors on outstanding RTV cases.
• Check quotes with vendors and create purchase requests in ERP.
• Transfer parts for repair technicians and maintain RMA tracking records.
• Check repair parts usage and orders with vendors.

Job description

We are looking for a self-motivated and detail oriented person for our RMA specialist position to handle customer returns and provide after sale service.

Responsibilities

Customer

• Daily email response to customers and our HQ.
• RMA request: verify warranty, issue RMA# and update data in RMA control excel file and ERP
• Repair charge: provide repair charge quote and invoice repair charge PO
• Credit: after repair technician checking credit return item, put the item back to proper warehouse and issue credit in ERP (cooperate with accounting dept.)
• Close RMA: Generate return SO in ERP and update RMA data in RMA control excel file
• RTV: request RMA with vendor and update RTV control excel file
• Shipping: pack return parts and generate RET shipping document in ERP
• Close RTV case: will distribute repaired part to repair technician after receive repaired RMA return from vendor
• RTV status: follow up with vendor for outstanding RMA cases
• Repair parts order and repair charge: check quote with vendor and generate PR in ERP

Internal

• Transfer parts for repair technician for RMA repair use
• maintain RMA tracking records
• Check Repair parts usage and order with vendor

Qualifications

Have 2-3 years of experience of handle RMA process for Computer or Electronic Products supporting Enterprise customers.
