  • Salary Range: 65,300 -75,000

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Optimization Project Analyst is responsible for supporting the coordination, data analysis, and execution of smaller-scale projects aimed at improving revenue cycle performance and operational efficiency. This role involves assisting with project coordination, stakeholder engagement, and analytical responsibilities, with an emphasis on enhancing workflows, ensuring compliance, and contributing to process optimization initiatives. The Analyst will work closely with project managers, team members, and stakeholders to provide support on project tracking, data reporting, and continuous improvement efforts.

Responsibilities

Project Management

  • Works collaboratively with clients within the Clinical Revenue Office to achieve established project milestones.
  • Assist in the development and maintenance of detailed project plans, timelines, resources, and task lists, ensuring alignment with overall project goals.
  • Support project managers in monitoring project progress, ensuring milestones and deliverables meet deadlines.
  • Work closely with teams and stakeholders to identify, document, and prioritize opportunities for process improvement.
  • Coordinate and facilitate project meetings, including scheduling, agenda preparation, and documenting meeting outcomes and action items.
  • Ensure clear, timely communication between project teams, stakeholders, and leadership, addressing any concerns or roadblocks promptly.
  • Track, analyze, and report on project status, including deliverables, risks, and mitigation strategies to stakeholders and management.
  • Prepare and distribute project documentation, including plans, workflows, status reports, meeting minutes, and presentations to keep information current.
  • Assist with resource allocation to ensure efficient and effective project execution. Identify and manage project risks, implementing mitigation strategies proactively.
  • Facilitate cross-functional collaboration with IT, operations, and other departments aligning stakeholders on objectives and deliverables.
  • Support creation of project roadmaps and portfolios, ensuring prioritization based on organizational and revenue cycle needs.
  • Collect, validate, and analyze project-related data to support decision-making and progress tracking.
  • Coordinate and participate in the abstracting and analysis of data for administrative and operational decision-making.
  • Creates visualizations and reports for internal teams and leadership using tools such as Excel, Power BI, or Tableau.
  • Present data and findings clearly to both technical and non-technical audiences, including key stakeholders and committees.

Strategy

  • Monitors key performance indicators and supports performance improvement initiatives, as directed. Establishes and manages relationships with project stakeholders and task owners. Facilitates task owner engagement and monitors quality of deliverables and adherence to deadlines. Provides guidance and advice on project management best practices and related matters.
  • Assists revenue cycle leadership with communication strategy and implementation.
  • Assists revenue cycle management in developing, implementing, and revising departmental policies and procedures.

Compliance

  • Ensure all project activities comply with relevant regulations, including HIPAA, payer contract guidelines, and organizational policies.
  • Assist in the development and implementation of audit procedures to ensure compliance with regulatory and operational standards.
  • Help monitor industry trends, payer policies, and regulatory updates, ensuring that project activities remain compliant and up to date with external requirements.
  • Collaborate with the compliance team to ensure all project-related activities adhere to internal and external regulatory guidelines.

People

  • Serve as the primary point of contact for project teams, facilitating communication and collaboration among team members and stakeholders.
  • Support the professional development of project team members by providing guidance, training, and resources as needed.
  • Assist with team coordination, ensuring that responsibilities are clearly defined, and that team members have the support needed to complete their tasks.
  • Help maintain a culture of accountability, continuous improvement, and innovation within the project team.
  • Coordinate stakeholder engagement efforts, ensuring that all relevant parties are informed and involved throughout the project lifecycle.
  • Foster a positive team dynamic, promoting collaboration and effective communication across departments.

  • Participate in and support various initiatives and projects within the office as needed.
  • Adapt to evolving needs and take on additional responsibilities to contribute to the success of the mission of the office.
  • Other duties as assigned by leadership.

Please note: While this position is primarily remote, candidates must be in a Columbia University approved telework state. There may be occasional requirements to visit the office for meetings or other business needs. Travel and accommodation costs associated with these visits will be the responsibility of the employee and will not be reimbursed by the company.

Minimum Qualifications

  • Bachelor's Degree or equivalent in education and experience.
  • Minimum of 3 years of related experience.
  • An equivalent combination of education and experience may be considered.
  • Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
  • Excellent communication skills, both written and verbal, with a commitment to providing clear and effective updates to stakeholders.
  • Demonstrated proficiency in problem assessment, resolution and collaborative problem solving in complex and interdisciplinary settings.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint) and familiarity with project management tools.
  • Must successfully pass systems training requirements.

Preferred Qualifications

  • Experience working in a financial environment.
  • Strong interpersonal skills with the ability to interact with diverse groups, including faculty, staff, and administrators.
  • High attention to detail and the ability to maintain accuracy in data management and reporting.
  • Experience with data visualization tools (Power BI, Tableau) and Electronic Medical Records (Epic).
  • Project management certifications (CAPM or PMP).
