Job summary

FuturePlan, a part of Ascensus, is seeking an onboarding specialist to manage end-to-end setup of new retirement plans and takeovers, coordinating with clients, advisors, and internal teams to ensure timely transitions and accurate documentation.

This role emphasizes quality control, process improvement, and clear communication, requiring 2+ years in financial services or retirement services, proficiency with recordkeeping systems, and strong analytical and collaborative skills.

Qualifications

• Bachelor’s degree in Accounting, Business Administration, Mathematics, or equivalent work experience.
• Proficiency in MS-Office software applications, including Excel and Word.
• 1-3 years of industry experience in financial services or retirement services environment is preferred.
• Minimum of 2 years of experience with Relius, ASC, FT William or similar administration recordkeeping system preferred.
• Basic level knowledge base of ERISA, DOL and IRS regulations, and plan documents (individually designed and prototype).
• Excellent presentation skills, telephone etiquette and professionalism, client service skills and time management proficiency.
• Excellent written and oral communication skills. The ability to communicate effectively with all levels within the FuturePlan organization, as well as with clients.

Responsibilities

• Manages case load effectively to meet or exceed departmental service goals and timelines.
• Provides clear communication regarding roles of each individual involved in onboarding.
• Collaborates with team members to continuously improve implementation processes.
• Coordinates with client and advisor to review onboarding documents for plan installation.
• Communicates onboarding progress to internal departments through regular updates.
• Updates workflow systems or status reports to keep all parties informed.
• Provides training and assistance to clients to ensure completion of tasks.
• Ensures internal department tasks are completed by due date.
• Provides input to Management on client issues and onboarding delays and escalates risks as needed.
• Participates in solution teams to define onboarding processes for new/enhanced services.
• Guides clients and financial advisors about ongoing administrative services.
