Job summary

Gilder Search Group is seeking a detail‑oriented Retention Specialist in Dallas to smooth lease renewals and maintain accuracy and compliance across the resident journey. You’ll manage notices, renewals, and notices to vacate, coordinating with maintenance and Revenue Management to protect occupancy and minimize turnover.

Responsibilities

  • Manage reports and systems to communicate with residents with upcoming lease expirations.
  • Review Month to Month residents to confirm correct fees are charged.
  • Coordinate with maintenance and field teams to schedule property inspections.
  • Review price and term negotiations with Revenue Management for approval.
  • Verify residents are compliant with renter's insurance, utilities, city code, and company policy requirements.
  • Audit completed renewals for accuracy and monitor lease expirations, base rent, occupants, uploads, and charges.
  • Manage roommate promotions and amend leases as needed.
  • Manage property transfer requests, confirming inspections and eligibility.
  • Reduce resident turnover through timely, effective communication and problem solving.
  • Manage the Notice to Vacate process end to end, including market analysis and move-out follow through.
  • Contact residents who have submitted notice to vacate to retain them with strong service and thoughtful solutions.
  • Educate residents on renewal timelines, rent increases, market rates, and potential fees.
  • Provide local market comps to help residents understand current home values.
  • Support team projects and processes as a collaborative teammate.

As a Retention Specialist, you'll play a key role in helping residents successfully renew their leases while ensuring accuracy, compliance, and a genuinely great experience at every step. From lease renewals to Notice to Vacate follow up, your work keeps the resident journey smooth and helps reduce turnover across the portfolio.

This position is based in their Dallas, TX office, with the flexibility to work from home one day per week.

What You'll Do:
  • Manage reports and systems to ensure residents with upcoming lease expirations are communicated with proactively and appropriately

  • Support team projects and processes as a collaborative, cooperative teammate
What You Bring
  • High school diploma or GED required
  • 1+ year of property management experience preferred, ideally in single family residential
  • Excellent customer service skills with a drive to consistently meet and exceed standards
  • A proactive, persistent approach to resolving issues
  • Strong verbal and written communication skills
  • Basic accounting and math skills, with proficiency in Microsoft Office (Word, Outlook, Excel)
  • Highly organized with strong attention to detail
  • Good time management, able to meet goals and deadlines without sacrificing quality
  • Ability to stay effective and level headed in a fast paced environment
  • A self directed, can do mindset that sees solutions where others see problems
