Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building.Position Summary:The Legal Support Specialist provides high-level practice and operational support to the Managing Shareholder and a team of attorneys. Serving as a trusted point of contact for internal and external clients, this role facilitates communication, coordinates priorities, and helps ensure matters move forward efficiently. The ideal candidate is highly organized, professional, and discreet, with strong judgment and professional presence. Strong communication skills are required. Flexibility to work overtime as needed.Key Responsibilities:Provides high-level administrative and practice support to the Managing Shareholder and a team of attorneysCoordinates client engagement, intake, and conflicts processes in accordance with firm proceduresAssists with court filings, including restructuring-related matters, and other practice support needsCommunicates with clients regarding billing, collections, and business development supportServes as the primary contact for the Restructuring Practice Group, coordinating daily operations and communication among attorneys, paralegals, and staffManages calendars, schedules meetings and appointments, and coordinates email and telephone communicationsArranges domestic and international travel, including itineraries, logistics, and related documentationMaintains client files, contact lists, matter information, and related recordsPrepares, edits, proofreads, and finalizes correspondence, documents, presentations, and other written materialsReviews, prioritizes, routes, and responds to correspondence and incoming communications, exercising judgment and discretionCoordinates matters with clients, opposing counsel, courts, and internal teams to support timely and responsive client serviceCoordinates with Paralegals and other legal support team members where applicableQualifications:Skills & CompetenciesExceptional organizational, time-management, and attention-to-detail skills, with the ability to manage competing priorities and meet deadlinesProfessional judgment, discretion, and ability to maintain confidential informationProactive, resourceful, and solutions-oriented approach to workStrong interpersonal skills and ability to collaborate effectively with attorneys, staff, clients, and external contactsExcellent written and verbal communication skillsAbility to work independently, anticipate needs, and follow through on assignmentsFlexibility to respond to time-sensitive mattersEducation & Prior ExperienceBachelor’s degree or equivalent combination of education and experience, preferredMinimum of three years’ administrative support experience in a professional services, corporate, or legal environmentPrior law firm experience supporting a practice group or senior attorney preferred, but not requiredExperience with court e-filing; bankruptcy court filing experience is preferredTechnologyAdvanced proficiency in Microsoft Office Suite applications, document management systems, and billing and time-entry platformsUnderstanding of AI capabilities, limitations, and responsible use in a professional environment.Familiarity with, or willingness to learn, firm-approved AI tools (e.g., Copilot, ChatGPT, or similar platforms) to support daily workflow and/or improve work quality.
