Job summary

SERVPRO Team McCabe is seeking a Restoration Job File Coordinator to support our families and businesses after fire and water events. You will monitor job file status, ensure client requirements are met, and coordinate documentation and estimates.

This full-time role runs 7:30am–4:30pm, Monday through Friday, with occasional overtime and after-hours on-call rotation. We offer health insurance, vision coverage, paid time off, and a 401(k) with matching to help you plan for the future.

Qualifications

• 2+ years of administrative or office experience is required.
• Outstanding written and verbal communication with proper grammar.
• Ability to stay calm and professional in tense situations.
• Excellent organizational skills and strong attention to detail.
• Proficiency in Google Workspace.
• Ability to learn new software including Xactimate and proprietary software.
• Experience writing estimates, job file processes, and quality assurance is a plus.
• Experience in a service industry is a plus.
• Able to pass a background check where required.

• Create preliminary estimates and prepare job file reports.

Primary Responsibilities

• Monitor job file status and WIP's
• Monitor and ensure client requirements are followed
• Review and validate initial documentation
• Create preliminary estimates and prepare job file reports
• Maintain internal and external communications
• Complete and review job file documentation for final upload and the audit process
• Perform job close-out
• Assist other departments, as needed
• After-hours on call phone rotation participation

Position Requirements

• 2+ year(s) of administrative or office-related experience

• Capability to work in a fast-paced, team-oriented office environment
• Proficiency in Google Workspace

• Experience in service industry environment a plus
• Ability to successfully complete a background check subject to applicable law

Hours: 7:30am-4:30pm M-F, flexible to work overtime and rotating on-call schedule

Job Type: Full-time

Compensation: $22.00 - $28.00 per hour
