Job summary

Hunton Services, a division of the Hunton Group, is seeking a Dispatcher Assistant to join our Houston area team. You will support the primary dispatcher with dispatching, invoicing, scheduling and administrative tasks to help meet business needs.

The role reports to the Area Service Manager and is located in the 77087 area. We value organized, proactive individuals who communicate professionally with customers and field staff in a fast-paced environment.

Qualifications

  • Must be able to interpret field service work orders and determine appropriate action.
  • Strong organizational, scheduling, and invoicing abilities.
  • Excellent communication and customer service skills.

Responsibilities

  • Correspond to customer inquiries and requests with clear service scope.
  • Route warranty service requests for authorization as appropriate.
  • Review service estimates to plan staffing, resources and start-ups.
  • Process service claims including concessions, defects, warranties, POs.
  • Coordinate and schedule all service work and ensure proper dispatch data.
  • Ensure calls are properly entered in the dispatch software system.
  • Maintain documentation for filing, accounts payable, cost moves and billing.
  • Follow up with customers and field reps to resolve outstanding issues.

DescriptionHunton Services, a division of the Hunton Group ( www.huntongroup.com ), is seeking to hire an organized Dispatcher Assistant to join our team. In this role, you will help facilitate the primary Dispatcher with dispatching, invoicing, scheduling and other administrative tasks to support the business needs. This position will report directly to the Area Service Manager and is located in zip code: 77087.Come work for an industry leader that has been recognized both locally and nationally as one of Top Places to Work !Responsibilities:Correspond to customer inquiries and requests from Existing Building & New Systems Sales Engineers by producing call slips with a clear scope of service to be performed.Route contractor or owner in-warranty requests for service for authorization, as appropriate to the type of warranty.Review Request for Service forms from New Equipment Sales for completeness & accuracy; verify equipment warranty status, review site & equipment information & start rates; produce call slips as required to properly manage Trane warranty calls.Review Service Job Estimates to plan for accomplishing projects, staffing and equipment requirements, and allotment of available resources for various phases of projects or start-ups, and coordinate with Service Project Manager, Field Service Supervisor or Technician.Process service claims including concessions, Ship Product Defects, retrofit and labor warranties, purchase ordersCoordinate and schedule all service work for maintenance, quoted work, time and material, startups, emergency calls, training and other directed activities.Ensure that all calls are properly entered in the dispatch software system.Ensure proper information is provided to the field representatives to achieve proper execution, maximize utilization and deliver superior customer satisfaction.Review documentation from field representatives, vendors, and customers to ensure proper handling for filing, accounts payable, cost moves and billing are completed in a timely manner.Responsible for the creation, completion and invoicing of all purchase orders and service tickets.Proactively follow up with customers, field representatives and interoffice to ensure outstanding issues are resolved and all commitments and expectations are met or exceeded.Maintain a positive attitude and communicate professionally to all customer inquiries including but not limited to customer complaints, re-directing field representatives and a fast-paced changing environment.QualificationsQualifications:Must possess excellent organizational, communication, and customer service skillsMust be able to interpret field service work orders to determine and implement appropriate course of actionAbility to use computer-aided dispatch, fax software, scanner, e-mailHVAC knowledge is a plusRequirements:Must have an Associate's degree in technical or business related fieldMinimum 3-5 years' experience is a plus
