We are seeking a Residential Maintenance Manager (RMM) to support the maintenance, repair, replacement and major project (renovations, etc.) needs for our luxury vacation homes. The ideal RMM would also project manage new home acquisitions and construction processes, leveraging and coordinating internal and external resources. This person will play a critical role in ensuring our investors have the best possible experience by managing the maintenance support for a portfolio of 20+ Equity Estates homes.

The (RMM) works on solutions for maintenance and repair issues with local hosts/caretakers on a day-to-day basis, engages in triage and advisory support with service vendors and engages in budgeting processes to develop ongoing care and maintenance plans as well as major projects. The RMM identifies, triages, documents, systematically tracks (in Salesforce), and coordinates routine maintenance, recurring maintenance, and emergency repairs in line with Equity Estates service level expectations.

The RMM is expected to build an internal knowledge base for the homes they support in order to systematize the care and maintenance of the homes, its equipment and other features and assets.

Duties and Responsibilities:

Core

  • Demonstrated experience in project management, including overseeing on-site operations, scope definition, GC/vendor management and budgeting
  • Experience solving a wide range of repair and maintenance issues within single or multi-family homes, including mechanical, electrical, plumbing, home security, home automation, pool/spa, and HVAC systems
  • Flexible and able to thrive in global environments with high levels of ambiguity and shifting priorities
  • Detail-oriented and demonstrate a proven track record of prioritizing tasks in order to meet tight deadlines
  • Strong communication skills, including the ability to convey critical information to stakeholders quickly and effectively, recommend solutions, and suggest opportunities for improvement
  • Professional demeanor and strong ability to establish positive relationships with others; you will be working closely with asset managers and local hosts to diagnose problems and address solutions in a collaborative manner
  • Effective leadership - you see a problem, take charge of the situation, and are not afraid to bring people and resources together to get the job done

  • Able to implement and oversee robust routine residence inspections within the portfolio
  • Able to develop strategies that improve asset management, and drive profitability via necessary and discretionary maintenance/capital projects that are identified during routine residence inspections
  • Guide/train Local Hosts/Local Property Managers and Housekeeping on general operational and maintenance aspects of home systems (including plumbing, electrical, HVAC, and low voltage systems), appliances and infrastructure (sonos, eero, etc.).
  • Conduct occasional on‐site visits to homes for routine inspections or project oversight.
  • Perform other duties as assigned.

Case Management

  • Apply professional judgment to quickly triage, troubleshoot and provide timely support and direction to local hosts and property managers regarding reported maintenance issues, including but not limited to appliances, cable/wifi, HVAC repair, plumbing, electrical, carpentry, and pool/spa maintenance
  • Source parts and materials and maintain inventory systematically
  • Ability to manage work orders, triage and update tasks on online platforms, and maintain a high level of responsiveness (including repair and maintenance cases)
  • Create, support, and manage home maintenance and repair plans to address more complex cases
  • Schedule and manage work completion to conclusion assuring cases are completed on time and in budget in line with our service level expectations
  • Work with the trip planning department to ensure reservation blocks and alerts are configured for investor awareness, as needed
  • Ensure closeout of cases on completion
  • Manage stakeholders to ensure dynamic information flow and awareness for interested parties
  • Develop, systematically implement and maintain preventative maintenance schedules as well as long-term care plans

Vendor Management

  • Obtain and evaluate bids for maintenance, repair, and renovation projects for accuracy and completeness prior to final approvals.
  • Negotiate contracts for services and maintenance/repair projects at the home to secure highly competitive terms
  • Evaluate performance of recurring vendors.
  • Research and develop relationships with vendors in-market to mitigate reliance on a single solution
  • Periodically analyze market costs for service types

Major Renovations or New Builds

  • Work with stakeholders to develop and manage project plans and budgets
  • Coordinate vendors to obtain cost estimates and seek internal approvals
  • Manage adherence to timelines and budgets, flagging up issues and risks to key stakeholders
  • Organize regular touch-points with vendors to ensure close coordination and execute various requests

Home Acquisitions

  • Kickoff project plan with stakeholders with a view towards targeted closing date and contractual diligence period
  • As part of due diligence, arrange for home inspections (initial and follow‐up), review inspection reports, seller provided documents, and HOA documents to identify risks, issues and liabilities and analyze short and long term capital improvement needs for underwriting purposes
  • Identify and record work that needs to be completed prior to turning home over to operations, or restrictions that may negatively impact desired usage of the home.
  • Obtain records and catalog legal documents associated with the acquisition of the home. This includes, but is not limited to, offer letters, plot plans, surveys, seller disclosure, HOA rules and regulations, and closing documents.
  • Coordinate parties relevant to new property installs/set‐up efforts

New Home Systems Setup (Healthy Home Standards)

  • Document the maintenance history of each property
  • Fully complete residence profile of equipment, vendors, and other key information to ensure a Healthy Home standard
  • Vet and engage recurring vendors to support the core care needs of the home
  • Translate inspection items requiring attention into care & maintenance cases in Salesforce to be addressed
  • Create, maintain, and update recurring maintenance and care requirements and implement in Salesforce (including but not limited to specialized equipment).
  • Work with asset management to develop annual home operation, maintenance, improvement and repair budgets.

Experience:

  • Very good written and verbal communication skills.
  • Proficiency with Microsoft Office (Outlook, Excel, PowerPoint), CRMs such as Salesforce and project management tools like Asana
  • Demonstrated ability to work on a team, cooperatively solve problems, manage changes with a positive attitude, and listen well.
  • Strong stakeholder management skills for managing vendors and teams.
  • Ability to analyze and optimize maintenance processes.

Physical Demands:

  • Frequently required to use a computer, telephone.
  • Frequently lift 10 – 15 pounds without assistance and (occasionally) lift and/or move up to 50 pounds.
  • Ability to walk and climb stairs and ladders.
