Job summary

Care New England is seeking a Residency Program Coordinator to oversee all aspects of the hospital's residency program, including applicant screenings, interview logistics, lectures, workshops and events. The role manages databases, site-review preparation and program data for ERAS, New Innovations and ACGME requirements.

The incumbent coordinates resident schedules, events, communications and intranet updates, ensuring confidentiality and process improvements under the Director, Admin. Ops.

Qualifications

  • Bachelor's degree with 3–5 years of relevant program or project coordination experience.
  • Proficient in word processing, spreadsheets and database management.
  • Strong working knowledge of eValue or New Innovations software preferred.
  • Experience planning for an ACGME site visit preferred.
  • Strong working knowledge with ERAS software system preferred.
  • Excellent communication, organizational and interpersonal skills.

Responsibilities

  • Organizes the Bi-annual Resident Review Meetings.
  • Coordinates Core Curriculum lectures and lecturers for Residency Program.
  • Organizes and coordinates Resident events such as Retreats, Orientation, Research Day and graduation.
  • Oversees CREOG exam materials submission and accreditation processes.
  • Maintains electronic databases for evaluations, grades, schedules and records.
  • Designs and maintains residency websites and intranet with program data updates.
  • Coordinates all aspects of the Resident Application Process including ERAS screening, interviews and NRMP.
  • Manages 24-hour resident coverage by faculty teams on a weekly basis.
  • Protects confidentiality of employee information.
  • Performs other duties as directed by supervisor.

Job Summary

Under the oversight of the Residency Program Director, the Residency Program Coordinator is responsible for and oversees all aspects of the Hospital's Residency Program including coordination of applicant screenings and interview season, lectures, clinical workshops, AOD schedule, retreats, exams, residency events such as Research Day, Chief Pro Tem, retreats and graduation. Oversees/maintains all aspects of program data requirements including ERAS, New Innovations, OpLogs and ACGME requirements, surveys, internal and external reviews, etc. For all residents, the incumbent schedules and arranges all meetings and logistics relating to program. Assists in coordinating functions of residency program tasks under the direction of the Director, Admin. Ops and works on process improvement initiatives for the program.

Duties & Responsibilities
  1. Organizes the Bi-annual Resident Review Meetings
  2. Coordinates Core Curriculum lectures and lecturers for Residency Program.
  3. Organizes and coordinates significant events such as the Resident Retreat, OB/GYN Intern Orientation, Resident/Fellow Research Paper Day, annual Resident/Fellow graduation, clinical workshops and annual ACLS certification for residents.
  4. Oversees, proctors and submits materials for the national Council of Residency Education for Ob/Gyn (CREOG) exam.
  5. Maintains electronic databases for evaluations, grades, AOD schedule, and other record-keeping.
  6. Designs and maintains the OB/GYN website at Brown and WIH, the Resident Intranet website, and update both residency program and resident data for professional associations/organizations.
  7. Coordinates all aspects of the Resident Application Process including screening of applicants in ERAS, Interview Process, Resident Applicant Rank Meeting, and NRMP.
  8. Coordinates the 24 hour coverage of residents by hospital and community-based faculty coverage teams. This is an ongoing weekly yearly process, although changes may be required on a daily basis.
  9. Preserves and protects employee rights to confidentiality.
  10. Performs other job-related duties as directed by supervisor.
Requirements
  • Bachelor's degree required with three to five years relevant experience in program or project coordination or an equivalent combination of education and experience.
  • Must be proficient in computer applications for word processing, spreadsheets and database management.
  • Strong working knowledge of either eValue or New Innovations software preferred.
  • Previous experience planning for an ACGME site visit preferred.
  • Strong working knowledge with ERAS software system preferred.
  • Excellent communication, organizational and interpersonal skills required.
