- This role is part of the Workforce Administration Team within the Technical Operations Division.
- Provide administrative support to Tech Ops team members and leadership.
- Collaborate with a dynamic team in a busy office environment to ensure team success.
Responsibilities
- Prepare and maintain department reports, including weekly headcount and daily staffing reports.
- Manage payroll processes using Workbrain, including time coding and shift scheduling.
- Handle overtime, field trips, and shift swaps according to collective bargaining agreements and system rules.
- Process vacation requests following leadership guidance and contractual guidelines.
- Provide excellent customer service via phone, email, and in-person inquiries.
- Greet and direct team members and visitors.
- Maintain office supplies and initiate orders as needed.
- Manage system access requests.
- Organize and file data and correspondence efficiently.
- Handle time-sensitive requests promptly.
- Communicate effectively with leadership to address operational inquiries.
- Complete FAA criminal background checks for airport security access, if applicable.
- Secure necessary airport or customs security badges, if applicable.
- Work shifts, including nights, weekends, and holidays, as required.
- Travel for professional development, if needed.
Qualifications
Minimum Qualifications
- High School diploma or GED.
- Previous administrative experience.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Preferred Qualifications
- At least 1 year of office experience.
- Associate’s degree or equivalent work experience.
Skills and Certifications
- Knowledge of collective bargaining agreements (IAM/TWU).
- Understanding of Workbrain or similar time and attendance systems.
- Strong communication and report formatting skills.
- Ability to maintain confidentiality.
- Effective prioritization and organization skills.
- Professional judgment and ability to work under time constraints.
