Job summary

Oliver Fire Protection & Security seeks an organized Inspections Administrator – Reports Administrator to support our Operations Support team in King of Prussia, PA. You will prepare, maintain, distribute, and upload sprinkler and fire alarm inspection reports while coordinating with customers, inspectors, and internal colleagues.

The ideal candidate is detail-oriented, communicates clearly, and comfortable managing reports and follow-up tasks.

Responsibilities

• Prepares and distributes sprinkler and fire alarm reports as necessary.
• Email city backflow inspection reports to the Philadelphia Water Company.
• Send inspection reports to customers upon request.
• Upload reports to municipal portals when applicable.
• Maintain all inspection reports in Service Trade.
• Work with sprinkler and fire alarm service teams, as well as other internal team members, to ensure reports are submitted, uploaded, and distributed upon completion of inspections.
• Maintain effective communications with the Operations Support Supervisor, Department Manager, team members and customers regarding report status and requirements.
• Prepare, compile and submit hospital reports to inspectors and coordinate with internal team members and customers to ensure reports are received.
• Attend department meetings and regular 1:1 meetings with your supervisor to discuss workflow, goals, and progress.

Position Summary

We're seeking a detail-oriented Inspections Administrator – Reports Administrator to join our Operations Support team. In this role, you’ll be responsible for preparing, maintaining, distributing, and uploading fire sprinkler and fire alarm inspection reports while supporting internal teams, customers, inspectors, and compliance-related reporting needs.

This role is ideal for someone who is organized, communicative, and comfortable managing reports, customer requests, and internal follow-up.

What You’ll Be Doing
