Job summary

Kairos Project is seeking an operations generalist to deliver our three-day residential workshops across AI safety and biosecurity. You’ll own workstreams from outreach and venue logistics to guest coordination and on-site execution, traveling to workshops in the US and UK as needed.

You’ll build scalable systems using Notion, Airtable, and Linear, shape future workshop strategy, and collaborate across programs to grow a portfolio of high-impact events that empower talented people to enter

Qualifications

• An operations generalist with events experience, capable of end-to-end management.
• Proven ability to own multiple workstreams and meet deadlines.
• Comfort with coordinating large groups and guests at live events.

Responsibilities

• Own workstreams end to end for each workshop: outreach, venue sourcing, contracting, catering, travel, inventory, and on-site logistics.
• Run admissions and participant operations: forms, selections, onboarding communications, and readiness.
• Coordinate guests: invitations, confirmations, and liaison from first email to follow-up.
• Deliver workshops in person, travel to workshops (UK/US) and help run them.
• Build scalable systems using Notion, Airtable, Linear, and automation to improve playbooks.
• Shape Kairos’ workshops strategy across programs and contribute to cross-team projects.
