Job summary

TubeScience is seeking a seasoned payroll professional to own U.S. payroll, contractor payments, and EOR payroll support, ensuring accuracy, compliance, and audit readiness as we scale. This role is hands-on, with no direct reports, and requires deep U.S.

payroll expertise and a proven track record of solving complex issues. You’ll manage multi-state payroll in Rippling, coordinate with HR and Finance, handle year-end tasks, and build robust payroll processes.

Qualifications

• 5+ years of payroll experience, including at least 3 years directly administering U.S. payroll.
• Hands-on experience processing payroll in Rippling.
• Experience managing multi-state U.S. payroll (California/NY preferred).
• Strong knowledge of U.S. payroll taxes, wage deductions, federal/state requirements, and off-cycle payroll.
• Experience investigating and resolving payroll discrepancies.
• Strong Excel or Google Sheets skills for reconciliations and reporting.
• Professional fluency in spoken and written English.
• Ability to work independently and meet deadlines in a fast-paced environment.

Responsibilities

• Own regular and off-cycle U.S. payroll processing in Rippling.
• Validate inputs: new hires, terminations, compensation changes, bonuses, deductions, reimbursements.
• Administer and reconcile contractor payments.
• Coordinate payroll and bonus processing with EOR partners.
• Validate EOR payroll calculations and reconcile invoices.
• Manage multi-state payroll requirements (taxes, overtime, final pay, filings).
• Administer benefits deductions, garnishments, retirement contributions, and other deductions.
• Maintain accurate payroll data in Rippling and troubleshoot configurations.
• Investigate discrepancies and drive resolution.
• Serve as primary contact for employee payroll questions.
• Support payroll audits, census requests, and benefits reviews.
• Manage year-end payroll activities (W-2/1099, reconciliations).
• Build and maintain payroll SOPs and controls.
