Job summary

TubeScience is seeking a hands-on Payroll Manager to own U.S. payroll, contractor payments, and EOR payroll support. This remote role requires deep U.S. payroll expertise and the ability to build reliable processes while coordinating with Finance, HR, and external partners.

You’ll manage regular and off-cycle U.S. payroll in Rippling, handle multi-state tax withholdings, year-end W-2/1099 tasks, and maintain accurate payroll data. Strong Excel skills and clear communication are essential.

Qualifications

• 5+ years of payroll experience, including directly administering U.S. payroll.
• Hands-on experience processing payroll in Rippling.
• Experience managing multi-state U.S. payroll, with California and/or New York exposure preferred.
• Strong knowledge of U.S. payroll taxes, deductions, and year-end processing.
• Excellent Excel/Sheets skills for reconciliations and reporting.
• Ability to investigate and resolve payroll discrepancies independently.
• Fluent in English, both spoken and written.
• Proven ability to work independently in a fast-paced environment.

Responsibilities

• Own regular and off-cycle U.S. payroll processing in Rippling.
• Validate inputs for hires, terminations, compensation changes, bonuses, deductions, and reimbursements.
• Administer and reconcile contractor payments.
• Coordinate payroll and bonus processing via EOR partners.
• Validate EOR payroll calculations and reconcile invoices with records.
• Manage multi-state payroll requirements, including tax withholding and final pay.
• Administer benefits deductions and other payroll-related withholdings.
• Keep payroll data accurate and troubleshoot configurations and reports.
• Investigate discrepancies and drive resolution.
• Serve as primary point of contact for employee payroll questions.
• Support payroll audits, census requests, and benefits reviews.
• Manage year-end payroll activities (W-2/1099) and related tax tasks.
• Build and maintain payroll SOPs and controls.
